OverviewOur Administrative Assistant oversees routine and advanced duties for other professionals by working with administrators and other employees to organize files, create correspondence and prepare reports or documents. An a dministrative assistant may also be responsible for helping to plan events and managing their supervisors’ schedules. By completing a range of clerical tasks, it helps ensure the smooth operation of the office and support s team efficiency at multiple locations.
This is a full-time onsite position based out of our Richmond, VA office.
How you'll make an impactGeneral Office
- Perform various administrative tasks such as data entry, generate regularly scheduled reports, m aintain and order office supplies and equipment
- Welcome, assist and be the point of contact for employees, clients, vendors, and other external parties to maintain positive relationships
- Assist with the coordination and execution of events and projects
- P rovid e support to various team members , projects, and departments
- Ensuring the office remains clean, organized, and presentable for both employees , clients, vendors and other external parties
- Continuously improv ing administrative processes and procedures to enhance efficiency and productivity within the office
- Manag e schedules, appointments, and meetings for advisors or managers, ensuring smooth daily operations using the CRM and Outlook
- Coordinat e meeting logistics , scheduling and confirming appointments
- Manage client relationships via courtesy calls, birth day cards, referral gifts, flowers, etc. (as requested )
Phones
- Responsible for answering phones, directing inquiries to the appropriate person or department
- Retrieving voice mail messages and distribution
- Assisting clients with documents or requests
Required: High school diploma and 2 years related experience required. Working knowledge of Microsoft Windows applications and Microsoft Office.
Compensation and benefitsWe offer a competitive and comprehensive compensation package. The base salary range represents the anticipated low end and high end of the range for this position. The actual compensation will be influenced by a wide range of factors including, but not limited to previous experience, education, pay market/geography, complexity or scope, specialized skill set, lines of business/practice area, supply/demand, and scheduled hours.
