POSITION SUMMARY

The Administrative Assistant plays a critical role in the daily operations of our behavioral health practice. This individual will provide administrative, scheduling, and operational support to clinicians, leadership, and clients.

The ideal candidate will be detail-oriented, proactive, comfortable handling confidential information, and experienced in managing administrative tasks within a healthcare or behavioral health setting.

ADMINISTRATIVE SUPPORT

  • Provide daily administrative support to clinical and leadership staff
  • Manage calendars, meetings, and appointments for providers and team members
  • Prepare reports, correspondence, and documentation as needed
  • Maintain organized electronic and physical filing systems
  • Answer phones, respond to emails, and direct inquiries appropriately

CLIENT AND PATIENT COORDINATION

  • Schedule and confirm client appointments
  • Assist with client intake processes and documentation
  • Ensure required forms, releases, and intake paperwork are completed
  • Communicate appointment reminders and follow-ups
  • Provide professional and compassionate customer service to clients and families

OFFICE OPERATIONS

  • Maintain smooth front-office operations
  • Manage office supplies and inventory
  • Coordinate internal communications among staff and departments
  • Assist with workflow organization and process improvements

COMPLIANCE AND DOCUMENTATION

  • Maintain confidentiality in accordance with HIPAA regulations
  • Ensure client records and documentation are accurate and up to date
  • Assist with compliance-related documentation and audits
  • Support insurance verification and documentation processes when needed

QUALIFICATIONS AND EXPERIENCE

Required:

  • Minimum 35 years of administrative experience
  • Experience working in healthcare, behavioral health, or human services preferred
  • High school diploma or equivalent (Associate or Bachelors degree preferred)

REQUIRED SKILLS

  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • High attention to detail and accuracy
  • Ability to manage multiple tasks in a fast-paced environment
  • Strong customer service and interpersonal skills
  • Proficiency with office software (Microsoft Office, Google Workspace)
  • Experience with scheduling systems or Electronic Health Records (EHR) preferred
  • Ability to maintain strict confidentiality

*THIS IS A FULL TIME POSITION. THE HOURS FOR THIS POSITION ARE 9AM TO 8PM, MONDAY THRU FRIDAY.
