Randolph-Macon College invites applications for a full-time Administrative Assistant to provide administrative support to the Physical Plant department. This position is designed as “Essential Personnel” for the College.
Schedule
- Monday – Friday / 7:30am – 4pm
Responsibilities
- Greet visitors, answer the main telephone line to the Physical Plant and direct calls accordingly.
- Manage the work order system: review and assign incoming work orders, close completed work orders timely, set up and run PM works orders, and generate a weekly open work order report.
- Manage the college vehicle pool reservation process and track data for drivers.
- Maintain the key cabinet and log.
- Work with various vendors to ensure proper accommodation in support of college needs.
- Serve as the primary point of contact for sign requests.
- Research and code invoices as back up to the office manager.
- Provide administrative support in various areas to include ordering office supplies and creating purchase orders.
- Track data and provide reports on vandalism, vehicles, equipment, utilities, etc.
- Maintain a database of up-to-date vendor certificates of insurance.
- Assist Physical Plant staff and management as needed. Cross train as back up for Mail Room.
Qualifications
- A high school diploma plus two years of related work experience in an administrative position is required.
- An associate degree (business finance or business admin) or some college is preferred.
- Previous work experience in a college or university setting is a plus.
- Strong administrative and customer service skills.
- Well-developed computer skills utilizing Microsoft Office Suite.
- Well-developed oral and written communication skills.
- Ability to pay close attention to detail in a fast-paced environment.
- Ability to interact successfully with students, co-workers, faculty, staff, vendors/contractors, and senior-level administrative personnel in a professional and courteous manner.
- Must be able to work with minimal supervision and make sound decisions.
