CEO - Executive Administrative Assistant (Remote)
We are looking for a highly organized and proactive Executive Administrative Assistant to support the CEO with daily operations, HR recruiting, scheduling, communication, and coordination across multiple business sectors, including real estate, home improvement, marketing, and call center operations.
This is a long-term, remote position for someone reliable, detail-oriented, and able to manage responsibilities independently.
## **Responsibilities**
### **HR & Recruiting**
* Manage job postings across hiring platforms
* Screen applicants and coordinate interviews
* Assist with onboarding and maintain HR documentation
* Help build and develop a strong, reliable team across multiple departments
### **Executive Support**
* Manage the CEO’s calendar, appointments, and reminders
* Handle emails, messages, and follow-ups
* Prepare reports, summaries, spreadsheets, and task lists
* Maintain confidentiality and professionalism
### **Sales & Client Coordination**
* Assist with sales follow-ups, lead nurturing, and client communication
* Support outbound and inbound communication with prospects
* Help qualify leads and schedule appointments when needed
* Provide administrative support for sales pipelines and CRM updates
### **Operations & Coordination**
* Assist with tasks related to real estate, home improvement, marketing, and call center operations
* Coordinate meetings, vendor communication, and project timelines
* Update CRM systems and organize digital files
* Ensure deadlines and priorities are met
### **Marketing & Lead Support**
* Assist with basic marketing tasks, posting, and content coordination
* Support lead follow-up, pipeline updates, and light cold calling
* Help prepare marketing materials and presentations
## **Required Skills & Experience**
* Proven experience as an Executive Assistant or Administrative Assistant
* Experience with HR, recruiting, job posting management, and team development
* Familiarity with real estate, home improvement, marketing, or call center operations
* Strong communication skills and professional writing ability
* Excellent organization, multitasking, and task management
* Ability to follow instructions, work independently, and meet deadlines
* Comfortable using CRMs, spreadsheets, scheduling tools, and online platforms
* Stable internet connection and quiet workspace
* Fluent in Spanish and English (spoken and written) — required
