Office Manager
The Office Manager manages the day-to-day operations of the center, coordinating administrative staff and ensuring patient satisfaction. This position oversees scheduling, billing, compliance, staffing and office maintenance while supporting a positive and efficient work environment.
KEY RESPONSIBILITIES:Human Resources:
- Process employee timecards, including tracking vacation and sick leave in the system.
- Hire, train and supervise staff as needed.
- Enter all new hires into UKG and complete I-9 verifications.
- Prepare new employee files, including setting up logins and email accounts.
- Respond to payroll-related questions to the best of their ability.
- Update and maintain employee records, including employment status changes.
- Collaborate with the administrator to resolve complex employee relations issues.
- Evaluate staff performance by monitoring individual work, and gathering feedback from patients, physicians and colleagues.
- Resolve conflicts in collaboration with Administrator.
- Delegates to Clinical, Billing and Front Desk Supervisors as needed.
GENERAL OFFICE ADMINISTRATION:
- Oversees Front Desk Supervisor.
- Oversee the operation of office equipment, including preventative maintenance, repair coordination and submitting IT support tickets as needed.
- Oversee office supply inventories and ordering.
- Conduct special projects as assigned by the administrator and/or physicians.
- Review and submit invoices to Accounts Payable on a weekly basis.
- Conduct Monthly Staff meetings in collaboration with Clinical, Billing and Front Desk Supervisors.
- Ensures that mail is opened and processed.
- Oversees building security and safety. Assists with training staff in proper evacuation procedures.
- Oversees Medical Records requests to ensure timely processing.
- Works with IT to troubleshoot.
JOB REQUIREMENTS:
- Strong leadership skills.
- May require occasional travel and overtime.
- Ability to lift and move medical equipment and supplies.
- Extended periods of walking or standing.
- Proven people resource management; basic knowledge of labor laws needed.
- Understanding of accounting principles.
- Attention to accuracy and details.
- Excellent communication skills, with the ability to prioritize and manage time effectively.
- Dependable and responsive to management direction; flexible.
- Able to improve performance based on feedback and direction given.
- Strong customer service orientation.
- Ability to handle interactions with professionalism and care with both patients and staff bringing issues to a positive resolution.
- Maintain the functionality and cleanliness of the centers.
- Medical office experience highly preferred.
- High school diploma required.
- Bachelor's degree preferred or equivalent experience with minimum one year of experience in health care. $50k - $60k.
