Administrative Assistant
The Administrative Assistant – provides critical operational and administrative support to the Administration Manager and plays a key role in ensuring the smooth execution of People & Culture, recruiting, onboarding, compliance, and administrative workflows. This position is highly organized, detail-oriented, and proactive, serving as a primary point of contact for employees and applicants across a growing, multi-unit automotive franchise.
This role is ideal for someone who enjoys supporting people, improving processes, and keeping operations running efficiently in a fast-paced environment.
Key Responsibilities:
· Manage calendars, scheduling, meeting preparation, and department communications
· Maintain files and digital records to audit-ready standards
· Prepare reports, correspondence, and department materials
· Serve as a point of contact for employee and applicant inquiries
· Manage office supplies, equipment tracking, and vendor coordination
· Post jobs, screen resumes, and conduct initial phone screenings
· Coordinate interviews and assist with background checks
· Prepare offer letters and onboarding packets
· Support employee lifecycle administration including onboarding and offboarding
· Assist with payroll-related data entry
· Assist with invoice coding, receipt organization, and statement consolidation for Finance
· Assist with system access, navigation, and troubleshooting
· Coordinate with IT for escalations and improvements
Requirements
·2+ years of administrative, HR support, or office coordination experience
· Strong organizational skills and ability to manage multiple priorities
· Excellent written and verbal communication skills
· Proficiency in Google Workspace and/or Microsoft Office; basic HRIS experience preferred
· Ability to maintain confidentiality and handle sensitive information
· Comfortable supporting high-volume, multi-site operations
