Position Overview
The Coordinator — Tie Operations serves as a key operational link between field planning, crew scheduling, customer reporting, and billing. This role is responsible for surveying job sites, developing detailed work plans, auditing performance in the field, coordinating internal crews and subcontractors, and managing the movement of railcar materials. The ideal candidate brings strong organizational skills, a working knowledge of railroad operations, and the ability to manage multiple priorities across geographically dispersed locations.
Key Responsibilities
• Site Survey & Planning — Travel to railroad locations to survey and plan upcoming operations work; map out detailed job plans for each location and submit to supervision for approval before providing to operations teams.
? Document site conditions, scope, quantities, and logistical requirements at each job location.
? Provide approved, detailed work plans to operations teams ahead of scheduled work windows.
• Field Auditing — Return to completed job sites to audit work quality, plan adherence, and operational performance against established standards.
• Production Reporting — Organize daily field production data into structured reports and distribute to internal stakeholders and external customers on a daily basis.
• Crew & Subcontractor Scheduling — Assist with scheduling of internal crews and subcontractors across active job locations to maintain production continuity and meet customer commitments.
• Billing & Invoicing — Prepare accurate billing worksheets on a weekly and monthly basis for all completed work, ensuring timely and complete documentation for invoicing.
• Railcar Coordination — Order, track, and manage the movement of railcars for material loading and shipping in support of tie operations logistics.
• Customer Relations — Serve as a point of contact for mitigating customer requests and complaints as they arise, maintaining professional and responsive communication.
• Equipment & Vehicle Scheduling — Assist with scheduling preventive and corrective maintenance for company equipment and vehicles to ensure operational readiness.
• Additional Duties — Perform other duties as assigned in support of the Tie Operations division and broader Field Operations team.

Required
• High school diploma or GED
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to create reports, spreadsheets, and correspondence.
• Strong organizational and time management skills with the ability to manage multiple active job locations simultaneously.
• Effective written and verbal communication skills; able to interface with both field crews and customer representatives.
• Valid driver’s license with an acceptable driving record; ability to operate a company vehicle.
• Willingness and ability to travel approximately 50% of the time, including overnight and multi-day trips to various railroad locations.
Preferred
• Prior experience in railroad, construction, or field operations environments.
• Experience with production tracking, billing, or logistics coordination.
• Familiarity with railcar ordering, tracking systems, or supply chain processes.
• Experience scheduling crews or subcontractors in a field services environment.

• Occasional lifting or carrying of materials, tools, or survey equipment up to 30 lbs.
