As a Contract Admin / Dispatcher, you will be responsible for managing contract billing processes while also supporting dispatch operations to ensure efficient service delivery. You’ll work closely with accounting, operations, and driver teams to maintain accuracy, resolve issues, and keep our transportation services running smoothly.

• Reconcile billing with accounts receivable and ensure accuracy
• Process high volumes of client-specific invoices
• Develop a strong understanding of billing systems and processes
• Identify, communicate, and resolve billing discrepancies
• Ensure timely and accurate billing and reporting
• Monitor account aging and identify trends or issues
• Support audits and ensure compliance with internal controls
• Prepare reports, metrics, and performance analyses
• Recommend process improvements, automation, and efficiencies
• Maintain compliance with company policies and regulatory requirements

• Coordinate driver assignments based on schedules, routes, and service needs
• Monitor trips in real time and respond to delays or service changes
• Communicate effectively with drivers, customers, and operations teams
• Assist with scheduling adjustments and route coordination
• Maintain accurate dispatch logs and operational records
• Support customer inquiries related to trip status and service updates
• Help ensure efficient, on-time service across the transportation network

• Degree or 3+ years of experience in accounting, finance, dispatching, or a related field
• Strong attention to detail and organizational skills
• Ability to manage multiple tasks in a high-volume, deadline-driven environment
• Analytical mindset with the ability to interpret and report data
• Strong communication and problem-solving skills
• Experience with billing systems and high transaction volumes preferred
• Proficiency in Microsoft Office Suite
• Ability to quickly learn systems and process workflows
