Senior Finance and Administrative Manager
1. Provides executive level administrative support to the Executive Director and M.D Public Affairs and Editorial.
2. Performs all Financial related duties within the NRA Media Division in accordance with established policies.
3. Channels NRA correspondence and action-type documents to NRA Media senior staff for appropriate action and ensures established reply-to suspense dates are met.
4. Coordinates and works with the Executive Director to produce annual operating and capital budgets for the NRA Media Division and tracks both budgets and expenditures throughout the year.
5. Coordinates all administrative matters related to the SHOT Show, Great American Outdoor Show and the NRA Annual Meetings & Exhibits for NRA Media staff assigned to attend, including but not limited to travel, accommodations, advertising luncheons and booth set-up.
6. Produces, reviews, monitors and presents customized financial reports for NRA Media's Executive Director, and adjusts as required.
7. Produces Publisher's Statement and monthly Rapid Report for the Alliance for Audited Media (AAM). Manages annual AAM audit of American Rifleman, American Hunter, Shooting Illustrated and America's 1st Freedom; coordinates with appropriate NRA personnel and Palm Coast Data on AAM requirements and information.
8. Monitors and reviews all financial statements and variance reports provided by Financial Services.
9. Produces monthly budget analysis report comparing budget vs. actual revenue and expenses, for the actual month in which they occur.
10. Verifies and maintains current monthly invoices on all expenses, serving as a check-and-balance. Approves routine purchases in accordance with established policies.
11. Produces, processes and maintains accounting of bill-backs to other divisions for services provided by NRA Media Division, such as photography and design support, extra copies of magazines, in-house advertisements, etc.
12. Interfaces with U.S. Postal Service to verify advertising percentages, monitor postage deposits and prepare publisher's annual ownership statements.
13. Coordinates arrangements for the annual advertising sales meeting, and prepares sales presentations, as assigned.
14. Coordinates with Administrative Services, Purchasing, and Telecommunications regarding procurement and maintenance of office equipment, furniture and telephone equipment in accordance with policy.
15. Maintains and monitors Division contracts with renewals.
16. Makes independent decisions on routine administrative matters.
17. Interfaces daily with NRA Officers, Board of Directors, members, and firearm industry executives on a variety of subjects and issues relevant to the Executive Director's office.
18. Initiates responses to general correspondence with approval of the Executive Director and M.D. Public Affairs and Editorial Director.
19. Communicates by mail and telephone with NRA members, suppliers and representatives of shooting and hunting industry.
20. Reviews time sheets for all NRA Media personnel for accurate reporting and ensures biweekly deadlines are met.
21. Responsible for the inventory, procurement and issuance of office supplies for the NRA Media division.
22. Verifies the accuracy of all expense reports prior to processing.
23. Informs supervisors of when annual performance appraisals are due, and follows up as required.
24. Interfaces with Human Resources in distribution of required forms and instructional material.
25. Provides research and analytical support for special projects.
26. Assists with maintenance of confidential personnel records.
27. Responsible for distribution of incoming mail and packages to NRA Media.
28. Extended hours required.

Other duties as assigned.SCOPE: Coordinates with all departments of NRA Media, other NRA divisions, executive offices of firearm industry, publishing and editorial staff of leading sports magazines and advertisers. Frequent contact with NRA Board of Directors and Committee members, and NRA members. Occasional contact with publishers, authors, general public and government agencies.EDUCATION AND EXPERIENCE: Bachelor of Science in Business Administration or equivalent and relevant work experience. Four to five years of fiscal and administrative experience. Formal training/experience in accounting and bookkeeping desired. Experience with office management and equipment systems. Event planning and execution, from initial concept to post-event evaluation.KNOWLEDGE, SKILLS, ABILITIES: Exceptional organizational, written and oral communications and interpersonal skills required. Confidentiality and attention to detail mandatory. Managerial skills and rapid decision-making abilities needed to function as office manager. Ability to deal effectively and harmoniously with other employees, NRA members, subscribers and a wide spectrum of outside contacts and suppliers. Pleasant and intelligent telephone manners and personality. Ability to type 70-90 wpm accurately, hand-on experience with PC systems, Word, Excel, PowerPoint, Outlook and Windows. Experience with standard office equipment. Familiarity with accounting and budgetary procedures. Ability to handle multiple projects simultaneously with frequent interruptions. Ability to work independently, under pressure and meet deadlines.
