Warehouse Coordinator - Columbia Missouri
1. Perform all tasks and conduct a thorough analysis, in an accurate and timely manner, of all Friends of NRA committee charters and orders received at FODC to determine the validity of their contents:
a. Review the shipping addresses and 'Need By' dates. b. Evaluate special criteria associated with select items (e.g. event sponsor premiums, high capacity pistols, etc.)
c. Verify the status of relevant Federal Firearms Licenses (FFL) with the Bureau of Alcohol, Tobacco & Explosives (BATFE).
d. Ensure all email orders are acceptable and ready to be entered into the FODC database.
2. In a safe and efficient manner, ensure that all tasks associated with receiving bulk deliveries into FODC from vendors are completed, including:
a. Scheduling appointments prior to the arrival of delivery vehicles
b. Unloading delivery vehicles in a timely manner
c. Comparing shipping documents and the physical contents of each delivery
d. Safely storing goods in designated area in a timely manner e. Ensuring deliveries meet established vendor participation guidelines
f. Examining goods for damage and identifying potential packaging concerns
3. Liaison, in an effective manner, with other Field Operations Division staff regarding all issues associated with order processing, as well as other issues concerning the operations of the offices of FODC:
a. Communicate efficiently via telephone and e-mail
b. Supply relevant data to staff through effective data management and reporting
4. In a timely manner, conduct the pick-pack-ship operations of FODC:
a. Scheduling orders for shipment
b. Picking and transporting orders from the warehouse
c. Packaging and handling shipping cartons in such a manner as to reduce potential damage in transit
d. Loading shipping cartons onto designated delivery vehicles
e. Ensure all shipments meet delivery deadlines
5. Ensure all reference materials are thoroughly organized and maintained in a timely manner in accordance with practices established by the Office of the Treasurer in anticipation of an annual audit, including FFL file records, FODC charter process, shipping addresses and FFL information in the FODC database and Tracker.
6. Maintain and/or schedule maintenance of warehouse materials handling equipment including reach truck(s), pallet jacks, hand trucks, package fill dispenser, etc.
7. Perform, in an accurate and timely manner, other critical computer processes including order postings, data back-ups, etc. and other tasks associated with the opening and closing of business activity at FODC on a daily, weekly, monthly, quarterly, or annual basis.
8. Ensure that all warehouse purchases and invoices are sent to Financial Services and processed within four days of receipt. Ensure all purchases are within warehouse budgetary parameters.
9. Maintain physical organization and cleanliness of offices, warehouse and shipping/receiving bays to established standards.
10. Keep adequate levels of commonly used warehouse supplies at FODC, coordinating all associated purchases with management.
11. Report and coordinate all issues and conflicts with Procurement & Logistics Manager concerning:
a. Vendor compliance to shipping regulations
b. UPS issues with shipping, receiving and billing
c. Security of merchandise, firearms, files and facility
12. Perform other duties as assigned.SCOPE: Operates in a fast-paced, deadline-driven environment with shifting priorities and responsibilities. Requires the ability to work independently with minimal direct supervision. Workflow is driven by order in-processing, shipment scheduling, pick-pack-ship operations, and external communications. Performs general administrative office duties in support of core responsibilities. Occasional weekend work required; travel is rarely required. Must be able to lift up to 50 pounds.EDUCATION AND EXPERIENCE: High school diploma or equivalent required; college degree preferred. Experience with physical inventory management systems and database management preferred. Prior knowledge of inventory control processes, materials handling equipment, and general safety and security practices required. Salary budgeted as $60,000/yearKNOWLEDGE, SKILLS, ABILITIES: Strong administrative skills, including data entry, filing, and organization. Proficiency in Microsoft Office Suite and email systems. High level of motivation, initiative, and attention to detail. Proven ability to work independently and manage multiple projects within set deadlines. Flexible and adaptable with the ability to prioritize and shift tasks as needed. Team-oriented with a willingness to support others to achieve common goals. Ability to operate warehouse equipment such as reach trucks and pallet jacks. Working knowledge of FFL procedures and requirements preferred. General knowledge of the firearms industry is preferred.
