Role Description
This is a full-time on-site position, based in Fairfax, VA, for the role of an Executive Assistant. As an Executive Assistant, you will handle core administrative tasks and provide high-level support to the Senior Vice President and senior managers within the Commercial Operations Department. Typical responsibilities include scheduling meetings, coordinating events, managing communications, preparing business presentations and reports, assisting with recruiting, and supporting daily operations to ensure efficiency and organization.
Qualifications
- Strong Executive Administrative Assistance skills to handle day-to-day tasks and ensure smooth operations
- Proficiency in providing efficient Executive Support
- Exceptional Communication skills, both verbal and written, to liaise with internal and external stakeholders
- Ability to multitask, maintain confidentiality, and work in a fast-paced environment
- Proficiency in Microsoft Power Point, Excel, Word, Outlook, Teams, and Adobe Acrobat is required
- Bachelor's degree or equivalent work experience preferred
- Previous experience supporting senior executives is a plus
Key Responsibilities
- Provide administrative support to the Senior Vice President, Vice President, and other senior department managers including supporting daily operations, calendar management/scheduling, preparing expense reports and other administrative functions.
- Meeting and event planning for department meetings, team building events, training, and other business events.
- Prepare business presentations and reports.
- Maintain physical and digital files.
- Review, prepare and revise business documents as requested.
- Assist with recruiting efforts by preparing job descriptions, screening resumes, scheduling interviews, and tracking applicant status.
- Manage permit applications including preparing submissions, making payments, tracking permit status, and distributing permit review comments and responses.
- Maintain and periodically update department Standard Operating Procedures, Emergency Response Plans, and other similar documents.
- Prepare and maintain lease abstracts and contract summaries.
- Maintain property summaries for all operating properties and coordinate with Property Managers to keep them up to date.
- Track annual real estate tax assessments for all operating properties, compare them with annual valuations, and coordinate real estate tax appeals with consulting firms.
- Conduct research projects as requested.
- Facilitate the execution and delivery of legal documents.
- Manage check requests, purchase approvals, and invoice processing as required.
