Church Office Administrator

Status: Full Time (40 hours/week); FLSA Nonexempt (Administrative Duties)
Job Summary
The church office administrator manages the church office, serves as the primary steward of the church program and building-use calendars, offers a welcoming and hospitable presence to those who contact or come to the church office, responds appropriately to the various needs and situations as they arise, and supports the church by sharing the Gospel and supporting its mission.
Essential Functions:
● Manage the church office and daily administrative operations in order to support the ministries and mission of Centreville UMC.
● Serve as the primary steward of the church’s program calendar and building-use calendar, coordinating submissions, maintaining accuracy, and resolving scheduling conflicts in collaboration with staff and ministry leaders.
● Manage building-use and related systems to ensure church ministries take priority, while also responsibly supporting community partners and outside groups.
● Maintain the congregational database and records with care, confidentiality, and accuracy.
● Provide administrative and clerical support to members of the professional staff.
● Recruit and supervise volunteer receptionists, utilizing their gifts and skills as they help with office-related tasks and assignments.
● Serve as a welcoming and hospitable presence for members, visitors, vendors, and community partners, responding appropriately to a wide range of needs and situations.
Other Responsibilities:
● Participate in all staff meetings and take meeting notes.
● Work with the congregational leaders in setting up volunteer schedules (lay readers, greeters, communion servers/stewards, etc.).
● Coordinate administrative and logistical support for funerals, weddings, special services, and other congregational events.
● Communicate room setup needs and logistical details with the director of facilities and custodial staff.
● Manage the church van calendar and certify van drivers.
● Ensure event attendance is recorded following church events and meetings.
● Submit weekly statistics to the Virginia Annual Conference through the conference’s website.
● Work with the lead pastor in preparing reports for the annual Church/Charge Conference.
● Submit the annual budget request for local church administration.
● Communicate with computer support services (Virasec) and other vendors as needs arise and assist in troubleshooting.
● Perform background checks for appropriate church volunteers and staff.
● Manage administrative onboarding tasks for new employees, including background checks, IT access, and copier use.
● Purchase office, hospitality, communion, and other administrative supplies.
● Manage vendor contracts for phones, copiers, IT, and other office equipment; negotiate contracts as needed to support administrative effectiveness.
● Ensure altar and sanctuary needs are met each week to align with the liturgical seasons of the church.
● Handle other duties as assigned, in consultation with the lead pastor, recognizing seasonal and congregational needs.
Minimum Qualifications:
● Bachelor’s degree preferred
● Previous administrative experience working in a church preferred
● Strong verbal and written communication skills
● Excellent organizational and multitasking abilities
● Proficiency with Microsoft Office Suite or equivalent systems
● Excellent interpersonal skills and sound professional judgment
● Ability to handle confidential information with discretion
● Spanish-language proficiency preferred
