Administrative Assistant – Community Development

Amherst County is seeking a detail-oriented and customer-focused Administrative Assistant to provide intermediate-level clerical, administrative, and office management support for the Community Development Department. This position works under the regular supervision of the Director of Community Development and may exercise limited supervision over subordinate staff. The Administrative Assistant is cross-trained to serve as a Permit Technician as needed.

Salary: $45,000+ to commensurate with experience

Key Responsibilities
  • Serve as a professional, ethical, and courteous representative of Amherst County while assisting the public
  • Act as receptionist, responding to inquiries in person and by phone and directing calls appropriately
  • Prepare, maintain, retrieve, and manage records, files, and confidential documents
  • Type and prepare correspondence, reports, memoranda, notices, schedules, bids, and other materials from drafts or verbal instruction
  • Transcribe dictation and compose routine correspondence in accordance with established procedures
  • Maintain appointment schedules and make travel arrangements
  • Receive, process, and review applications, permits, and other documents for accuracy and completeness
  • Take, transcribe, and prepare minutes for meetings and hearings; distribute finalized minutes
  • Order office supplies and maintain inventories
  • Assist with budget preparation, account reconciliation, and maintenance of accounting, budget, payroll, and personnel records
  • Verify budget balances, match purchase orders and invoices, and apply appropriate budget codes
  • Gather, enter, and maintain complex data in computerized systems
  • Prepare specialized and complex reports
  • Develop and maintain filing systems and cross-referenced office records
  • Operate standard office equipment, data entry systems, and word processing software
  • Receive and process incoming and outgoing mail
  • Perform other related duties as assigned
Knowledge, Skills, and Abilities
Knowledge of:
  • Office practices and procedures
  • Proper grammar, spelling, and vocabulary
  • Office automation equipment and software, including word processing, databases, and spreadsheets
  • Basic arithmetic as applied to office work
Ability to:
  • Communicate effectively both orally and in writing
  • Provide information and instructions regarding departmental programs
  • Enter data and type at a reasonable speed and accuracy
  • Establish and maintain effective working relationships with staff and the public
  • Handle confidential and sensitive information responsibly
Education and Experience
  • High School Diploma or GED
  • Supplemental coursework in typing and/or data processing preferred
  • Considerable responsible clerical and office experience
Physical Requirements
  • Primarily sedentary work with extended periods of sitting
  • Occasional lifting of up to 15 pounds
  • Frequent fingering, grasping, and repetitive motions
  • Ability to communicate verbally and hear at normal spoken levels
  • Visual acuity for computer and written work
  • Work is performed in a standard office environment with moderate noise levels
Special Requirements
  • May require NCIC certification and/or Notary Public certification depending on assignment
  • Valid driver’s license in the Commonwealth of Virginia
