Office Manager
POSITION SUMMARY
Car Commander Virginia is looking for an organized, detail-driven Office Manager to run the day-to-day administration of the dealership and give the owner a clear, daily picture of the business’s finances — money in versus money out. In this onsite role, you will keep the office running smoothly while owning the core bookkeeping function: recording transactions, managing accounts payable and receivable, reconciling accounts, and preparing simple, reliable reporting the owner can read at a glance. This is a high-trust seat for someone who is great with numbers, even better with systems, and wants to be the dependable center of a growing small business.

COMPENSATION & BENEFITS
Annual Salary: $65,000 – $75,000 (salaried, based on experience)

Role Focus : Office administration + daily money-in vs. money-out reporting
Why this role matters: The owner gets a trusted right hand who runs the office and delivers a daily money-in vs. money-out snapshot — replacing a once-a-month CPA report with clear, current numbers.
OBJECTIVES & KEY RESPONSIBILITIES
- Build and maintain a simple, reliable daily money-in vs. money-out report that gives the owner accurate, at-a-glance visibility into the business’s cash position
- Oversee day-to-day office administration — scheduling, correspondence, filing, supplies, and vendor coordination
- Record daily transactions and manage accounts payable and accounts receivable accurately and on time
- Reconcile bank and credit card accounts regularly and flag any discrepancies to the owner
- Prepare clear weekly and monthly summaries of revenue, expenses, and cash flow for the owner
- Keep organized records of vehicle purchases, reconditioning costs, and operating expenses
- Coordinate with the external CPA on bookkeeping hand-offs, payroll, tax filings, and year-end reporting
- Support payroll administration, invoice processing, and basic HR and onboarding paperwork
COMPETENCIES
- Strong office administration and organizational skills, with the ability to personally own the day-to-day running of the office
- Solid bookkeeping and basic accounting skills; comfortable tracking money in vs. money out and preparing accurate summaries
- Proficiency with QuickBooks, Xero, or similar accounting software, plus Excel, email, and scheduling tools
- Self-directed and highly organized, able to juggle competing priorities with minimal oversight
- High integrity and discretion with sensitive financial, owner, and employee information
- Strong attention to detail and a low tolerance for errors in numbers, records, or paperwork
EDUCATION & EXPERIENCE
- High school diploma or equivalent required; associate’s or bachelor’s in business or accounting preferred
- 2 to 4+ years of office management, administrative, or bookkeeping experience required
- Hands-on experience with AP/AR, bank reconciliations, and basic financial reporting required
- Proficiency with QuickBooks, Xero, or similar accounting software required
- Experience in an automotive dealership, retail, or other small-business setting preferred
PHYSICAL REQUIREMENTS
- Ability to work at a desk and computer for extended periods managing administrative and bookkeeping work
- Ability to occasionally lift office materials, files, or supplies weighing up to 20 pounds
LOCATION & WORK ARRANGEMENT
This is a fully onsite position based at Car Commander Virginia in Lynchburg. The Office Manager works from the dealership during regular business hours, Monday through Friday.
