Position Overview We are seeking a highly organized and proactive Administrative Assistant to provide exceptional support to our Senior Executive Team. This role is pivotal in ensuring smooth operations across scheduling, meeting and travel coordination, and internal approval processes. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and manages competing priorities with professionalism and discretion. This is a full-time position located in our Arlington, VA office, and reports to the Executive Vice President. Essential Functions: Calendar Management: Oversee calendars, ensuring accuracy and anticipating conflicts. Meeting Coordination: Schedule internal and external meetings and manage logistics for those meetings. Travel Planning: Arrange detailed travel itineraries, accommodations, and transportation. Document Preparation: Organize and distribute meeting materials, presentations, and follow-up documentation. Process Support: Assist with internal approval workflows and maintain confidentiality in handling sensitive information. Technology Enablement: Support executives in leveraging tools like Microsoft Teams, HubSpot, and Virtuous for optimal efficiency. Task Tracking: Partner with the Executive Initiatives Manager to monitor priorities, deadlines, and deliverables. information.
