Patient Experience Coordinator
Position: Family Experience Coordinator
Location: Annandale, VA
Status: Full-Time; In Office
Compensation: $23-$27/hr.
Shift: 9am-6pm
At the heart of our white-glove mission, the Family Experience Coordinator bridges families and care — guiding them through onboarding, clarifying benefits, and fostering long-term engagement. You’ll also support our therapy team by connecting families to key resources, enhancing communication, and turning everyday care into an extraordinary experience.
WHAT YOU'LL DO:
- Welcome new families with warmth and clarity — leading onboarding meetings that build trust and set the tone for care.
- Verify insurance benefits and walk families through coverage details in a clear, compassionate way.
- Serve as a communication bridge between therapists and families — reinforcing alignment and supporting care plan follow-through.
- Connect families to community resources and collaborate with therapists when additional support or clarification is needed.
- Monitor family experience trends and surface barriers to engagement, access, or retention.
- Provide occasional scheduling support during high-volume periods or coverage needs — in partnership with the Care Coordinator.

EDUCATION AND EXPERIENCE:
- Associate’s degree or higher (background in social services, psychology, human services, or education a plus).
- 2+ years in family-facing roles such as care navigation, community outreach, or pediatric healthcare.
- Excellent verbal and written communication — able to explain complex information with clarity and warmth.
- Proven customer service skills, especially in emotionally sensitive or care-focused settings.
- Experience verifying insurance benefits, or eager to learn quickly.
- Proficient with EHR systems, Microsoft Office, and documenting professional interactions.
- Organized, reliable, and naturally skilled at building rapport with families and team members while maintaining professional boundaries.
- Able to pass a TB test and FBI background check; HIPAA-knowledgeable or ready to train.
