Position Summary

The Purchasing and Inventory Specialist is responsible for sourcing materials, managing vendor relationships, maintaining accurate inventory, and supporting purchasing operations across departments. This role ensures that essential materials are available when needed, in compliance with Akina SOPs and regulatory requirements, while optimizing procurement strategies for cost-efficiency and supply continuity.

This position requires someone who is proactive, detail-oriented, and process-driven. The ideal candidate will be skilled in analyzing usage trends, managing vendor performance, and collaborating with warehouse and production teams to ensure consistent material availability and accurate inventory levels. You’ll have success here if you value clear processes and get, want, and have capacity to do the following things:

  • Materials Sourcing and Procurement
    • Source new materials, vendors, and processes, pursuant to regulatory standards and Akina SOPs, keeping detailed records on procurement activity. Analyze material usage trends to optimize procurement strategies and reduce waste.
  • Purchasing Operations Optimization
    • Assist in developing and refining purchasing workflows, including lead time tracking, reordering schedules, and vendor performance metrics. Analyze procurement patterns to identify cost-saving opportunities, prevent stockouts, and ensure alignment with operational demand.
  • Vendor Qualification and Relationship Management
    • Oversee the identification and maintenance of vendors for purchasing and service contracts, implementing and maintaining service level agreements (SLAs). Develop and maintain relationships with vendors to negotiate pricing and prioritization of stocked items and facility maintenance tasks (including calibrations, certifications, and preventative maintenance).
  • Inventory Monitoring and Upkeep
    • Implement best practices for inventory accuracy, stock organization, and rotation methods (FIFO/FEFO). Work closely with warehouse teams to optimize space utilization and par-levels.
    • Collaborate with the Receiving Specialist, Production, Fill, and Warehouse teams to ensure materials are available and accessible when needed. Monitor backorders, delays, and usage trends to proactively adjust purchasing and stocking strategies.
  • Documentation and Compliance Support
    • Assist in maintaining compliance with SOPs and regulatory documentation related to purchasing, receiving, and inventory processes.

  • Maintain a stockout rate of 0% for all stocked materials (100-200 material SKUs)
  • Maintain 100% par level compliance and inventory accuracy through routine monitoring and reconciliation
  • Ensure 100% accurate documentation, with procurement records updated within 24 hours of purchase
  • Coordinate with the Quality Team in completing, maintaining, and reviewing qualification records of all approved vendors once a year.

Experience and Qualifications

  • Experience in Purchasing, Inventory, or Warehouse Operations
    • At least 1 year of experience in a purchasing, inventory management, or warehouse role, or the ability to learn and execute detailed receiving procedures efficiently.
  • Attention to Detail and Accuracy:
    • Proven ability to inspect, verify, and document received shipments with precision while following detailed company protocols.
  • Physical Capability and Stamina:
    • Ability to stand for extended periods and lift packages weighing up to 50lbs as part of daily responsibilities.
  • Commitment to Quality and Efficiency:
    • Demonstrated understanding of how inventory accuracy impacts company operations and the ability to work efficiently while maintaining high-quality standards.
