Front Desk Security Administrative Assistant
:
On behalf of our direct client, we are seeking a highly experienced individual for a position as a Front Desk Security Administrative Assistant. Responsibilities will be broad but mainly focus on administrative tasks in support of the corporate office. As a member of the corporate security team, you will provide assistance to multiple levels of the business in regard to personnel, facility, and physical security actions. The primary work location will be Crystal City, VA, and will report to the Senior Director of Security. Standard hours are 8:00 AM - 5:00 PM, Monday - Friday. **This is a temporary to perm position that is ON-SITE. NO TELEWORK.**
Key Functions/Duties:
- Greet clients and visitors upon their arrival following standard operating procedures which include: issuing of visitor badges, completion of sign-in logs, and connecting them with the appropriate party. Escort visitors to appropriate relocation, if necessary.
- Assist with processing visitor requests for upcoming meetings.
- Answer phone calls in a timely manner and direct calls accordingly.
- Assistance with scheduling meetings and conference rooms.
- Assistance in monitoring visitor logs.
- Maintain a daily log of all actions performed throughout the day.
- Copy, file, and maintain paper or electronic documents and records.
- Handle incoming and outgoing mail; process and distribute mail accordingly internally.
- Update various databases with private employee, or other, information.
- Assist with Building Management communications.
- Maintain lobby and security desk in a neat and orderly manner at all times.
- Other administrative duties as assigned.
Qualifications/Skills - Required:
- Any combination of education, experience, and training equivalent to high school graduation and 3 years(minimum) of experience providing administrative-level support.
- A proven record of customer service, reliability, and discretion are key components.
- Effectively work with people at all levels, from support staff to senior executives; willingness to contribute wherever needed, providing support of operation activities, day-to-day needs, and special events.
- Demonstrate strength in problem-solving, priority setting, time management, written and verbal communication, approachability, professionalism, and customer service.
- Customer Service - Ability to interact in a friendly, service-oriented, and professional manner with internal and external customers.
- Competence - Attention to detail regarding spelling and grammar skills, solid working knowledge of MS Office.
- Communication - Excellent communication skills, ability, to think on their feet, great listening skills, and have the ability to make staff and visitors feel valued and appreciated.
- Organization and Detail Oriented - Essential to be able to focus and prioritize workflow, handle correspondence, and record keeping.
- Time Management - Able to complete tasks efficiently; Able to prioritize urgent matters and resolve an issue successfully.
- Confidentiality/Discretion - Candidate will handle sensitive documents or knowledge at any time. It is imperative sensitive matters are not shared openly. Must have a high level of integrity and discretion.
- Possesses Good Judgement - Ability to make sound decisions without supervision, anticipate or recognize problems and be able to refer them quickly to the right person or department for resolution.
- Team/Independent Work - Candidate must have the ability to work in either setting successfully.
Qualifications/Skills - Preferred:
- Three (3) years of experience providing administrative-level support - preferably in a federal contractor environment.
Physical Requirements/Work Environment:
- Office is a professional environment, requiring professional attire.
- Required to walk, stand, sit, bend, kneel, climb stairs, and carry equipment up to 25 pounds, as necessary.
- Uses hands to grasp, handle or feel.
- Visual acuity is required to read data on a computer monitor.
- Ability to operate keyboard-driven equipment.
- Ability to drive a vehicle.
- Position frequently communicates and must be able to exchange accurate information with others verbally and in writing.
- All duties performed with or without reasonable accommodations.
Special Requirements:
- Must have the ability to obtain and/or maintain an active U.S. government Secret clearance, with possible upgrade to Top Secret.
- U.S citizenship is required based on government requirements for clearance
