Position Title: Operations Manager

Reports To: Executive Director 

FLSA Status: Full-Time, Exempt 

Opening/Closing: Immediately – October 15, 2025 

Compensation: $70,000 annually 

 

ORGANIZATION OVERVIEW

The Center for Alexandria’s Children works to prevent child abuse, strengthen families, and protect children through direct services, education, and advocacy. Our nationally accredited Children’s Advocacy Center ensures that children affected by abuse receive comprehensive, compassionate support in a safe environment.

ROLE OVERVIEW

The Operations Manager ensures smooth and effective administration of the Center’s finance, HR, and organizational systems. This role manages payroll, bookkeeping, donor database functions, compliance requirements, and logistical support, allowing the Executive Director to focus on strategic leadership. 

MINIMUM QUALIFICATIONS 

  • Bachelor’s degree in Business Administration, Finance, Management, or related field. 
  • Minimum 3–5 years of experience in operations, finance, project management or HR. 
  • Experience managing payroll and financial reconciliations. 
  • Familiarity with grant reporting, fundraising, and budget processes. 
  • Highly organized with strong attention to detail and ability to manage multiple systems. 
  • Ability to work independently, exercise discretion, and maintain confidentiality. 
  • Strong interpersonal skills and ability to collaborate across teams. 
  • Ability to pass background checks, including a criminal records check and Child Abuse Registry. 

PREFERRED QUALIFICATIONS

  • Experience in grant management and non-profit management.
  • Knowledge of QuickBooks, Bill.com, Expensify, donor databases, and HR systems. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Development, Grants, & Finance

  • Collaborate with the ED and Development Committee on fundraising strategies, budgets, and donor stewardship. 
  • Oversee quality control of the donor database, including gift processing, acknowledgements, and donor communications. 
  • Manage the grants pipeline: calendar, research, applications, compliance, and reporting. 
  • Manage Expensify, Bill.com, QuickBooks, DonorPerfect, GiveCloud, Stripe, and other systems. 
  • Prepare and reconcile monthly financial reports and payroll for the Executive Director for review. 
  • Ensure timely filings for SCC, taxes, and audits. 
  • Monitor data collection and outcomes with program staff; ensure evaluation findings inform improvements. 
  • Ensure data is complete, accurate, and timely to meet grant reporting and funding requirements.
  • Support donor stewardship and manage HeartWork sponsor engagement, including communications, recognition, and tracking commitments.

Human Resources & Compliance: 

  • Conduct background checks and child abuse registry clearances. 
  • Maintain HR files and insurance coverage. 
  • Serve as IT vendor liaison and oversee technology needs.

Administration:

  • Support the ED in implementing the strategic plan and organizational priorities. 
  • Advise on staffing structures, organizational development, and program growth. 
  • Manage office systems (emails, voicemails, supplies, room booking, meeting logistics). 
  • Provide administrative support for Board, staff meetings, and events. 
  • Coordinate ALX Closet logistics (donation runs, inventory, donor tracking). 
  • Ensuring website information is up to date.

Events and Logistics

  • Planning, administration and execution of fundraising events, including the annual Gala.
  • Financial management and logistics coordination for all annual events.

Other Duties: 

Intern & Volunteer Collaboration

  • Recruit, screen, and coordinate volunteers and interns as needed for administrative functions. 
  • Ensure accurate record-keeping across administrative systems. 
  • Provide directions and supervision to assigned volunteers and interns for administrative tasks.

Professionalism & Development

  • Participate in supervision and professional development activities, demonstrating openness to feedback and commitment to continuous growth.
  • Represent the Center at committees, funder meetings, and community partnerships. 
  • Follow all organizational policies, including confidentiality, mandated reporting, and safety procedures.
  • Support agency-wide initiatives by assisting at fundraising events, community engagement activities, and cross-program collaborations when needed.
