Restoration Services - Office/Project Coordinator

Responsibilities:
Correspondence
Answer Google Voice phoneline
Answer emails or forward emails to the appropriate person
Set evaluation appointments
Take messages
Track progress of each project to ensure efficient handoffs
Notify manager of new appointments
Notify estimator when a new scope is available to write
Notify and brief Project Manager on upcoming and available projects
Check and make Daily Logs
Create QuickBooks customer accounts (send invoices)
Create Buildertrend customer accounts
Send documents and follow up for signatures
i.e. Authorization, contracts, change orders, selection forms, budget forms, completions
Send invoices and follow up with PM and client for payment
Upload files and organize customer files in buildertrend
Close files when all steps are complete and file requirements are fulfilled
Be present for weekly meetings to take notes and add tasks
Coordinate with Office Manager (including, but not limited to…)
Submit bills for payment after approval from Project Manager
Submit purchase orders for large materials orders
Post on social media accounts (Use Instagram, Facebook, Canva)
Assist in office events and activities (budget, planning, execution)
Follow up with closed projects for reviews and final thoughts
Provide input on workplace efficiency and strategy
