Job Title: Quality Documentation Coordinator (Quality Associate – BHE)

Job Description

This role supports Quality, Engineering, and Production teams in a manufacturing environment by reviewing production documentation, maintaining quality records, and ensuring compliance with applicable codes and customer specifications. The Quality Documentation Coordinator works extensively with technical documents, databases, and document management systems to verify accuracy, generate reports, and compile complete documentation packages. The position requires a high level of attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced, high-volume setting. The regular shift runs Monday through Friday from 2:30 PM to 11:00 PM, with initial training potentially occurring on an earlier daytime schedule.

Responsibilities

  • Review production documentation for quality and code compliance, ensuring all records meet internal and external standards.
  • Verify serial numbers, specifications, and manufacturing data entered into company databases for accuracy and completeness.
  • Assign National Board numbers to U-stamped vessels in accordance with applicable code requirements.
  • Generate and distribute code-compliant nameplates and Manufacturers Data Reports for pressure vessels and related equipment.
  • Create, compile, and maintain customer documentation packages, including large PDF files and final turnover books.
  • Organize, format, and distribute documentation to customers and internal stakeholders in a timely and accurate manner.
  • Retrieve, archive, and manage quality records and historical documentation to support traceability and audits.
  • Perform final reviews of production documentation prior to release, confirming that all required records are present and correct.
  • Generate, update, and revise procedures, work instructions, and quality documentation to reflect current practices and standards.
  • Process Nonconformance Reports (NCRs), track corrective actions, and support follow-up activities to ensure closure.
  • Support internal quality audits and compliance initiatives by preparing documentation, records, and reports.
  • Serve as a liaison with third-party inspectors, including external code and classification society representatives.
  • Provide documentation and compliance support to Production and Engineering teams, answering questions and helping resolve issues.
  • Occasionally deliver documentation packages and nameplates to production personnel on the manufacturing floor.
  • Operate metal nameplate stamping equipment by pulling up the appropriate program, entering serial numbers, and stamping approximately 20–30 nameplates per day (around 100 per week) while logging all required data.
  • Maintain a high level of accuracy and organization while producing documentation books and nameplates in a fast-paced environment.
  • Handle confidential and technical documentation responsibly, ensuring proper control and security of records.
  • Use Microsoft Excel, Word, Outlook, Adobe Acrobat, and other document management tools to prepare, edit, and manage technical documents.
  • Collaborate closely with different production departments to ensure documentation and quality requirements align with manufacturing activities.

Essential Skills

  • Previous experience in Quality Assurance, Document Control, Compliance, Manufacturing Administration, or a closely related field.
  • Strong computer skills, including proficiency with Microsoft Excel, Word, Outlook, and Adobe Acrobat.
  • Experience working with databases, ERP/MRP systems, or manufacturing software for data entry and record management.
  • Ability to manage, review, and interpret technical documents with a high degree of accuracy.
  • Strong organizational and recordkeeping skills, with the ability to maintain orderly and accessible documentation.
  • Excellent written and verbal communication skills for interacting with internal teams, customers, and third-party inspectors.
  • High attention to detail and a process-oriented mindset when reviewing documentation and entering data.
  • Ability to work independently and manage multiple tasks in a fast-paced, high-volume environment.
  • Proficiency with computers and document management systems, including handling large technical document packages and PDFs.
  • Comfort working in a manufacturing environment and collaborating with production departments.
  • High school diploma or GED (required).
  • Basic knowledge of pressure vessel codes and related industry standards.
  • Basic understanding of measurement techniques and use of measurement equipment.
  • Basic technical writing skills for updating procedures, work instructions, and quality documentation.
  • Time management skills and the ability to prioritize tasks and meet deadlines.
  • Ability to multi-task while maintaining accuracy and completeness in documentation and records.

Additional Skills & Qualifications

  • Manufacturing experience, particularly in a regulated or quality-focused environment, preferred.
  • Experience working in a pressure vessel code environment.
  • Experience in Document Control, Quality Systems, or Compliance Documentation.
  • Exposure to ISO-certified or regulated manufacturing environments, such as ISO 9001.
  • Experience supporting quality audits, including preparation of records and follow-up on findings.
  • Familiarity with NCR and corrective action processes, including documentation and tracking.
  • Experience with engineering documentation and production support activities.
  • Comfort working with technical documentation, including drawings, specifications, and data reports.
  • Strong records management skills, including archiving, retrieval, and retention of quality documents.
  • Experience with data entry and documentation review in a manufacturing or quality role.
  • Ability to interact professionally with third-party inspectors and external stakeholders.

Work Environment

The role is based in a clean, organized, and large manufacturing facility where all sections are clearly labeled by materials and production areas, supporting efficient workflow and navigation. The regular shift runs Monday through Friday from 2:30 PM to 11:00 PM. Initial training may begin as early as 6:00 AM, with training hours likely aligning to a 7:00 AM–4:00 PM or 8:00 AM–5:00 PM schedule before transitioning to the regular shift. The facility is climate-controlled, providing a comfortable working environment, and includes an onsite cafeteria for convenient access to meals and breaks. The organization operates as an ISO 9001 certified facility, emphasizing structured quality systems and consistent processes. The position involves working closely with various production departments and occasionally entering the manufacturing floor, where full personal protective equipment (PPE) is required when walking through the warehouse or production areas; PPE may be removed once in the office area. Much of the work takes place at a desk, using computers and document management tools to review documentation, manage records, and operate nameplate stamping equipment. The environment is fast-paced and high volume, particularly in producing documentation books and nameplates, and it requires sustained focus, accuracy, and time management.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
