Job Title: Administrative Office Assistant

Location: Richmond, VA

Schedule: Full-Time | Monday–Friday | 8:30 AM – 5:00 PM

Compensation: $18.00–$19.00/hr

Position Summary:

We are seeking a detail-oriented and dependable Administrative Office Assistant to support daily office operations and ensure efficient workflow. The ideal candidate will have prior office experience, strong organizational skills, and the ability to communicate professionally with clients and internal associates. This is a full-time, in-office position requiring availability Monday through Friday, 8:00 AM to 5:00 PM.

Key Responsibilities:

  • Provide general administrative support to management and staff

  • Answer and direct incoming phone calls in a professional manner

  • Monitor, respond to, and distribute incoming emails promptly and accurately

  • Communicate effectively with clients, vendors, and internal associates

  • Prepare, update, and maintain spreadsheets using Microsoft Excel

  • Utilize QuickBooks for invoicing, data entry, expense tracking, and basic accounting support

  • Maintain organized filing systems (physical and digital)

  • Assist with scheduling, calendar management, and meeting coordination

  • Support additional administrative tasks and projects as assigned

Qualifications:

  • Previous office or administrative experience required

  • Proficiency in Microsoft Excel (data entry, basic formulas, spreadsheet management)

  • Working knowledge of QuickBooks (invoicing, reporting, or bookkeeping support)

  • Strong written and verbal communication skills

  • Professional phone etiquette and customer service skills

  • Excellent organizational skills and attention to detail

  • Ability to multitask and prioritize in a fast-paced environment

  • Reliable, punctual, and able to maintain consistent 8:00 AM – 5:00 PM, Monday–Friday availability
