Overview:

We're seeking a proactive and service-driven Front Desk Administrator to support our real estate office and ancillary companies. You will be the first point of contact, ensuring smooth daily operations and exceptional support to agents and clients.

Key Responsibilities:

Front Desk & Office Operations

  • Greet visitors and manage incoming calls, emails, and office communication.
  • Maintain office tidiness, make coffee, stock supplies, manage TV/AC/shades.
  • Open and close office daily, including dishwasher and trash duties.
  • Manage office supplies, order materials, and organize storage.
  • Maintain rosters & calendars for birthdays, anniversaries, and contacts.
  • Update referral databases, calendars, google drive, and internal bulletins.
  • Handle mailings, including birthday cards and recruiting brochures.
  • Coordinate vendor repairs and update vendor lists.

Agent & Client Support

  • Assemble and maintain listing and buyer packets.
  • Prepare new agent welcome bags and onboarding materials.
  • Assist with agent onboarding, training, and orientation scheduling.
  • Support agents with on-the-spot needs and showing coordination.

Technology & Marketing Support

  • Assist with tech tools: Google Drive, Gmail, Calendar, printing/scanning.
  • Help agents with social media, email banners, and business tools.
  • Create listing binders, just listed/sold postcards, and digital signage.
  • Provide light graphic support using Canva and Adobe tools.
  • Support ERA and MoxiWorks tool usage and communicate with ERA support as needed

  • Proficient with email, spreadsheets, real estate software, Canva, Adobe.
