[Priority Listing] Director of Administration and Marketing
Potomac Crescent Waldorf School (PCWS) is seeking a Director of Administration and Marketing to join our dedicated faculty and vibrant community at our renovated school in historic Old Town Alexandria near Washington, D.C.
The Director of Administration and Marketing leads the Administration’s collaborative efforts to ensure smooth and mission-aligned operations that support the Faculty’s pedagogical work and the Board’s financial and legal oversight of the school. They lead the school’s efforts to attract and retain thriving enrollment and strong parent engagement through marketing and communications that reflect the school’s pedagogy and values. This role is uniquely positioned to coordinate strategic planning and communication among the governing bodies. The Director of Administration and Marketing collaborates closely with the Faculty in their work and reports to the Board of Directors.
Responsibilities include but are not limited to the following:
Leadership & Oversight:
- Lead administrative staff and manage external contractors to ensure cohesive communication and operational excellence that is mission-aligned.
- Participate in regular Core Group meetings (with Faculty Chair and Board Chair) and crisis management efforts, as needed.
Strategic Coordination:
- Act as the Administration’s primary liaison with the faculty and Board of Directors; coordinate strategic meetings and initiatives and community meetings.
- Read Board emails, participate in Board meetings in a non-voting capacity, and keep the Board up to date on school operations.
- Coordinate with the Faculty Chair to bridge faculty and administration work, attend faculty meetings, and draft annual calendar with staff input.
- Make determinations of inclement weather closures and delays per policy and communicate to staff and community.
Community Engagement:
- Serve as a principal point of contact for clarification or resolution on questions and concerns brought to the administration.
- Working with the faculty, facilitate and attend school events and ensure a welcoming atmosphere.
Marketing and Communications:
- Develop and implement an annual marketing plan.
- Serve as primary point of contact for any marketing consultants working with the school.
- Collaborate with marketing consultants or committees and Director of Admissions to ensure marketing efforts are meeting enrollment goals.
- Coordinate with faculty to ensure marketing and communications materials reflect pedagogical values and practices at PCWS.
- Design digital/print marketing materials for all internal and external communications that uphold the school’s mission-aligned voice, including brochures, signage, flyers, website content, advertisements, and event promotions; revise digital presentations for admissions materials.
- Manage the school’s website and social media content and create weekly or biweekly newsletters.
- Ensure that communications, marketing, and enrollment activities are unified and meet the school’s growth objectives.
Policy & Compliance:
- Oversee the development and maintenance of key policies and handbooks; including annually updating the Parent, Faculty, Safety, and Administration handbooks.
- Ensure regulatory compliance and safety standards.
Financial Management & Human Resources:
- Ensure alignment of financial management with the strategic goals and operational needs of the organization.
- Coordinate with the Director of Finance and Treasurer on matters regarding financial operations, including budgeting, accounting, and financial reporting, payroll, benefits administration, and compensation structures.
- Chair the HR Committee.
- Lead administrative staff performance reviews, orientations, and staff development processes.
- Lead review and revision process for administrative job descriptions; maintain faculty and administrative salary schedules; issue new and returning staff annual employment agreements; act as hiring coordinator for the school in collaboration with the HR Committee for administration positions and the Personnel Committee for faculty positions.
Facilities Management:
- Oversee facility operations and maintenance.
- Manage vendor and landlord relationships and ensure a secure and well-maintained environment.
Shared Front Office Responsibilities:
- Participate in key front-desk functions including phones, visitor access, student transitions, and emergency first aid as needed.
- Provide a reassuring presence and logistical support during arrival, dismissal, and emergency situations.
- Ensure front office is staffed at all times school, aftercare programs, and summer camps are in session.
Qualifications
- Bachelor’s degree
- 5+ years of experience in administrative leadership experience, marketing and/or other related areas
- Strong strategic, analytical, and organizational skills, with the ability to balance vision with execution
- Excellent interpersonal skills and employee management skills
- Exceptional written and verbal communication skills
- Ability to manage multiple responsibilities with care and attention to detail
Preferred:
- Experience in Waldorf education or a deep interest in learning about it
- Experience in independent school administration
- Prior leadership or supervisory experience
- Current certifications for CPR/First Aid and Medication Administration
