Receptionist/Office Assistant
• Greeting clients, visitors, and staff with professional and courteous demeanor and managing check-ins with efficiency.
• Managing a multi-line phone system to answer and redirect calls promptly while maintaining professionalism.
• Coordinating conference room bookings and ensuring meeting spaces are prepared and well-equipped for use.
• Handling mail and deliveries, including sorting, distributing, and scheduling courier pickups as needed through UPS, USPS, & FedEx. • Maintaining a clean and organized reception area & mailroom reflects the company’s commitment to high standards.
• Maintaining fax, copy machine, & printer in the mailroom.
• Assisting with administrative tasks such as filing, data entry, and preparing documents or reports for meetings.
• Monitoring and ordering office supplies in collaboration with the facilities or procurement team.
• Supporting the HR department with scheduling interviews or onboarding new hires as necessary.
• Assisting HR department with job fairs.
• Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition
events, holiday parties, etc.
• Adhering to security protocols by managing visitor logs and monitoring building entry procedures.
• Continuously learn the latest best practices to improve workplace efficiency.
• Assist ALL departments with requests, prioritizing in the appropriate order of importance.
• Assist with all other duties as assigned. Required Skills, Experience, & Qualifications: Required:
• Exceptional verbal and written communication skills to handle client interactions and professional correspondence.
• Proficiency in using office software, including Microsoft Office Suite and scheduling tools.
• Strong organizational skills with attention to detail for managing appointments and office tasks.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• A high school diploma or equivalent is required.
• Strong problem-solving skills and the ability to manage last-minute changes efficiently. Preferred:
• Previous experience as a receptionist or administrative assistant.
• Familiarity with multi-line phone systems and visitor management software.
• Experience managing executive calendars.
• Knowledge of security protocols or experience handling sensitive data.
• Post-secondary education is a plus. PHYSICAL DEMAND: • Routine office work
• While performing the job duties of this job, standing, walking, sitting, reaching, and bending are required.
• Must have manual dexterity, visual acuity, and be able to speak and hear.
• The employee may occasionally be required to lift up to 50 pounds.
