Office Assistant
1st Choice is currently seeking an Office Assistant for our client in Norfolk, Virginia. The Office Assistant will provide administrative support for the Center for Orientation, Retention, and Exploration. The Office Assistant will also take on managing schedules to organizing documents. The successful candidate should have good time management, flexibility, the ability to handle multiple tasks, excellent communication and telephone skills.Job Duties
- Become and remain knowledgeable of New to Blue, Major Exploration and Exploratory Advising, Success Coaching, and Success Teams,
- Demonstrate professionalism, positivity, and customer service via phone and email to orientation participants (students and family members), staff, faculty, and campus visitors,
- Effectively troubleshoots orientation registration and change of major processes,
- Manages and monitors office printers, furniture, and other equipment,
- Using critical thinking to problem solve independently,
- Monitors and answer incoming calls, and route them to appropriate offices,
- Monitors and answer emails with correct information, .
- Check-in students for academic advising and success coaching appointments,
- Schedule (and reschedule) academic advising and success coaching appointments,
- Provide assistance to the Office Manager,
- Serve as the first point-of-contact to students, faculty, staff and the general public and receptionist for the Center,
- Provides information to students and general public on University and Center building locations, activities, programs and policies,
- Maintains office files and inventory FOR DEPARTMENTAL RECORDS MANAGEMENT,
- Assists with the supervision of student workers
- Maintains schedules/bookings for orientation registrations, conference rooms, and professional staff,
- Accounts for and distributes incoming and outgoing mail,
- Preforms other duties as assigned
Basic Qualifications
- High School Diploma Required
- Experience in office management or administrative support role
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, with the ability to interact effectively with individuals at all levels.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
