Mailroom Manager

LOCATION: NRA Headquarters, onsite M-F

SUMMARY: Coordinate all shipping/receiving and mailroom operations to include supervision of shipping and receiving clerk(s), record keeping of all mailing operations, assignment of tasks, vendor contract negotiations, invoicing, and budget analysis. Must be at least 21 years of age and eligible to have legal access to firearms and/or ammunition. Must be knowledgeable of USPS and other providers' regulations regarding shipments of firearms and/or ammunition. Subject to pre-employment credit/criminal background check.

ESSENTIAL RESPONSIBILITIES
1. Coordinate and motivate, within divisional guidelines, shipping/receiving and mailroom clerk(s). Assist Senior Building Engineer with annual performance evaluations of all employees within the shipping/receiving mailroom department. Active participation in the interviewing, hiring, and training of staff within the shipping/receiving and mailroom.
2. Responsible for shipping/receiving/mailroom annual budget to include formulation, implementation and tracking of budget in an accurate and timely manner.
3. Coordinate, with Senior Building Engineer, vendor contract negotiations to include such vendors as Federal Express and UPS in a timely manner consistent with NRA policy and procedures.
4. Assist all NRA personnel in shipping/receiving and mailing operations in a timely manner.
5. Responsible for receiving, tracking, securing, and reconciling all incoming money which is turned over to NRA Accounts Receivable Department on a weekly basis.
6. Maintain general upkeep of all equipment in the shipping/receiving/mailroom to include negotiation of any maintenance contracts for machines etc.
7. Maintain inventory of material supplies to include standard forms, envelopes, copy paper etc. Ensure timely delivery of needed items to requesting division/ departments.
8. Prepare accurate monthly financial reports of the shipping/receiving/mailroom operations for Financial Services in a timely manner.
9. Reviews and approves timecards, within association guidelines, for shipping/ receiving/mailroom staff.
10. Perform minor repairs on shipping/receiving/mailroom equipment as required in a timely manner
11. Performs other duties as assigned
12. Must be at least 21 years old and have the ability to handle the receipt and shipping process of firearms in a timely, safe and secure manner in accordance with all regulations.

SCOPE: High visibility with departmental staff, NRA employees, NRA Officers and outside vendors/contractors. Position functions in a fast-paced work environment with multiple shifting priorities. Position functions with minimal direct supervision and requires regular bending, standing, lifting, loading and carrying of items up to 50 lbs. No travel required. Occasional additional hours required.

EDUCATION AND EXPERIENCE: High School diploma or equivalent required. One to three years' experience in shipping/receiving/mailroom operations required.


KNOWLEDGE, SKILLS, ABILITIES: Excellent written and oral communications skills required. Demonstrated ability to motivate and supervise support staff essential. In depth knowledge of shipping/receiving/mailroom operations required. Demonstrated accounting and budget analysis skills helpful. Ability to perform minor repair functions on shipping/receiving/mailroom equipment required. Excellent organizational skills required.
