Position Summary

Defense Holdings, Inc. (DHi) is seeking a Virtual Assistant to provide remote administrative support across multiple departments. The ideal candidate will have strong organizational skills, be proficient in digital tools, and have the ability to manage various tasks in a fast-paced environment.

Key Responsibilities

Administrative Support

• Provide general administrative support to teams, including scheduling, document preparation, and data entry.
• Handle routine inquiries and manage emails, calendar appointments, and communication.

Project Assistance

• Assist in the coordination of virtual meetings, including scheduling, preparing agendas, and taking meeting notes.
• Help with research, task tracking, and follow-up actions as required.

Cross-Departmental Coordination

• Assist in ensuring smooth coordination between virtual teams and departments.
• Support the operations manager in executing departmental tasks and ensuring deadlines are met.

Required Qualifications

• High School diploma or equivalent (Bachelor’s degree preferred).
• 2+ years of experience as a virtual assistant or in an administrative support role.
• Proficiency in Microsoft Office Suite, project management tools (e.g., Asana, Trello), and virtual meeting platforms (e.g., Zoom).
• Strong organizational and communication skills.

Preferred Qualifications

• Experience working remotely in a virtual assistant role.
• Familiarity with cloud-based tools (e.g., Google Workspace, Microsoft 365).
• Ability to multitask and prioritize in a fast-paced environment.

• Time Management : Ability to handle multiple projects and deadlines.
• Tech-Savvy : Comfort with using various digital tools and software to support virtual operations.

Work Environment

• Fully remote or hybrid (if applicable).
• Occasional travel may be required depending on role and team needs.
