What You’ll Be Doing

As the Office Coordinator, you’ll be at the center of day-to-day operations, keeping projects, teams, and office functions running smoothly. Your role will include:

• Supporting project and production managers with project coordination and pre-construction administration.
• Provide clear communication and direction to field staff, with the ability to engage effectively with Spanish-speaking employees
• Helping sales and estimating teams with prequalification packages and bid submissions.
• Coordinating daily service department activities, including work orders and invoicing.
• Assisting with contracts, filing, and ensuring projects stay on track.
• Providing occasional backup for accounting tasks such as payroll, billing, and accounts receivable.
• Managing office operations including correspondence, filing systems, supplies, and records retention.
• Jumping in where needed to keep everything moving seamlessly.

What You’ll Bring

• 2+ years of administrative experience (construction background preferred; commercial roofing experience a plus).
• 1 year+ experience with processing accounts receivables
• Strong organizational and problem-solving skills with the ability to juggle multiple priorities.
• Excellent communication skills — both written and verbal.
• Proficiency in Microsoft Office Suite and other job-related software.
• Ability to communicate at Intermediate to Advanced level Spanish
• Notary certification highly valued.
• A proactive, detail-oriented mindset and the ability to thrive under deadlines.
