Executive Assistant for the CHRO of Human Resources

BAE Systems, Inc. is seeking an experienced Executive Assistant with attention to detail and excellent communication skills to provide support to the Vice President and Chief Human Resources Officer (CHRO) with occasional support to HR COE executives. This position will act as the focal point for the CHRO and will be responsible for providing analytical and specialized support for a variety of duties and tasks, as well as day-to-day coordination of the CHRO's busy schedule. In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations. Additional responsibilities and opportunities exist to support and lead critical projects with other HR Leadership Team members to prepare the individual for advancement in the HR function. Primary Duties and Responsibilities Include: - Support the CHRO as key focal point for communication;
- Maintain the CHRO's calendar, arrange meetings and appointments. Maintain and track meeting action items through completion;
- Lead and assist with critical projects as a member of the leadership team; including participating and including in key HR leadership meetings including global interaction;
- Manage communications with senior level internal and external customers to include Board members and senior level executives. Maintain a variety of soft and hard copy records/files that involve company private data that if revealed would be detrimental to the company's interests;
- Coordinate, facilitate, and provide support for high level conferences, meetings and events with a high degree of tact and diplomacy;
- Manage Teleconference and TEAMS connections. Handle the catering for meetings and events. Coordinate highly visible meetings and support international guests during these meetings;
- Create PowerPoint presentations with embedded Excel for quarterly business meetings and others documents as required. Support metrics analysis, web maintenance and SharePoint coordination;
- Coordinate extensive domestic and international travel for the CHRO. Manage travel arrangements, expense reporting, and procurement card reconciliation;
- Manage all aspects of receiving and screening all forms of communication as required.
Required Education, Experience, & Skills - High School diploma or equivalent;
- A minimum of seven (7) years of related experience. Bachelor's degree may replace the experience requirement;
- Proven experience in an executive administrative function;
- Advanced level proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook;
- Project juggler, good follow-up abilities and strong organizational skills;
- Great attention to detail;
- General knowledge of computer hardware and office equipment.
Preferred Education, Experience, & Skills - Administrative/business school or Associates degree;
- Certified professional secretary or certified administrative professional;
- Formal training in Microsoft Office Suite to include Outlook;
- A background in supporting an HR Executive or HR function;
- Aspirations to develop and grow their career with the HR field;
- 10-plus years of related experience.
Pay Information Full-Time Salary Range: $69520 - $111210 Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
