Summary

The Office Services Specialist performs a wide range of administrative, operational, and customer service functions in support of the Training and Technical Assistance Center (TTAC) at Old Dominion University. Responsibilities include maintaining accurate data in statewide reporting and internal inventory systems; coordinating logistics and preparing materials for professional learning events, meetings, and technical assistance activities; managing office inventory, purchasing, and supply distribution; and supporting the daily operations of the T-TAC office and Assistive Technology (AT) Library. The position helps ensure efficient office processes, maintains accurate records, and provides responsive support to internal staff and external stakeholders. The successful candidate demonstrates exceptional organizational skills, proficiency with data management systems and office technology, strong attention to detail, and the ability to work independently while contributing to a collaborative team environment.

Job Responsibilities:

  • Maintain accurate records in statewide data management systems by entering, reviewing, and validating service-related information. Generate routine and ad hoc reports, monitor data quality, and provide data support to inform program operations, planning, evaluation, and compliance with reporting requirements.
  • Supports general office operations by managing office inventory and supplies, preparing and distributing materials and resources to school divisions and stakeholders, coordinating shipping and mailing activities, maintaining organized office and storage areas, and assisting with purchasing and other operational functions to support TTAC staff and services.
  • Assists TTAC specialists with workshops, trainings, or network meeting logistics (i.e., event management support).
  • Processes requests for and distributes Assistive Technology. Troubleshoots technical difficulties, repairs, maintains, and inventories Assistive Technology and Augmentative Communication equipment.

Education and/or training:

High School Diploma

Level and type of experience:

General Office experience

Specific knowledge, skills, and abilities:

  • Record keeping, including maintaining logs and filing systems, as well as strong organizational skills are required.

  • Technology skills including the use of a personal computer, database software for inventory control, and basic word processing software (Microsoft Office, Google Suite)

  • Demonstrated ability to perform basic clerical tasks as well as the ability to communicate orally and in writing and follow oral and written instructions.

Other:

Demonstrated ability to work well with educators and colleagues in a professional manner.

Preferred knowledge, skills, and abilities:

Experience with communication platforms (e.g., TEAMS), graphic design platforms (e.g., CANVA), email marketing platforms (e.g Campaign Monitor), and form builders (e.g., Google)

Entry-level working knowledge of Assistive Technology, including Augmentative Communication and other applications as well as hardware work.

Final salary offers may vary depending on factors such as experience, qualifications, skills, internal equity, and budget availability. The anticipated hourly range for this position is $21.00 - $25.00 .
