Job Title: Accounts Payable SpecialistJob Description This role involves collaborating with an AP processor under the supervision of the AP Supervisor, managing all accounts payable duties and expense report processing. The role entails handling 300-400 invoices weekly in NetSuite and processing over 100 expense reports weekly using Concur. The workload is manageable when invoices are accompanied by a purchase order. Responsibilities + Review and match corporate and host terminal vendor invoices to purchase orders for processing and approval. + Exercise critical thinking skills to evaluate services billed on invoices, ensuring proper billing to purchase orders. + Coordinate with the Operations Department to ensure proper billing and coding. + Manage a high volume workflow while supporting vendor inquiries and requests from various Operations Departments, adhering to tight deadlines. + Communicate with numerous vendors throughout the country regarding issues with incoming invoices. + Monitor pending invoice approvals to ensure timely payment of invoices in accordance with vendor terms. + Process weekly check runs. + Support terminal operations by researching inquiries and providing solutions. + Support the general ledger by providing requested transaction documentation and responding to inquiries. + Review and process expense reports for completeness and accuracy using Concur expense reporting software. + Prepare and submit vendor credit applications provided by operations. Essential Skills + 3+ years of high-volume accounts payable processing experience. + Familiarity with a large ERP system. + Basic proficiency in Excel. + Experience with NetSuite and purchase orders. Additional Skills & Qualifications + Experience working with POs in accounts payable. + Proficiency in using pivot tables and VLOOKUPs. + Experience with FedEx and other vendor platforms for accessing invoices. Work Environment The position is based in an office with a family feel, located in Norfolk with great views. The team is professional and has a lot of tenure, reflecting the company's growth and over 100 years of history. The work schedule is Monday to Friday, 8 AM to 5 PM. Job Type & Location This is a Contract to Hire position based out of Norfolk, VA. Pay and Benefits The pay range for this position is $24.00 - $25.00/hr.
