General Clerk III

The General Clerk III plays a vital role in ensuring smooth daily operations through consistent administrative support, front�'desk coverage, and effective interaction with staff, visitors, and external partners. KEY RESPONSIBILITIES:
Administrative & Clerical Support
- Perform routine clerical duties, including composing basic correspondence, filing, maintaining documents, and supporting day�'to�'day administrative functions.
- Order office and student supplies, track inventory, and support procurement needs.
- Receive, log, and distribute incoming mail, packages, and faxed communications.
- Assist administrative and executive support staff with tasks, projects, and workload overflow as needed.
- Answer and route incoming telephone calls to appropriate personnel.
- Greet visitors, maintain entry and exit records as required, determine the purpose of visits, and assist with meeting coordination.
- Provide professional customer service and serve as the first point of contact for internal and external stakeholders.
- Maintain, update, and distribute internal telephone directories and contact lists.
- Collaborate with internal branches and divisions to support organizational activities and meet operational goals.
- Coordinate office equipment service needs (IT support, printers, copiers, scanners, fax machines) and arrange repairs following established procedures.
- Maintain confidentiality of sensitive information.
- Assist with special projects by gathering information, performing research, verifying data, and preparing supporting materials.
- Obtain necessary information from appropriate staff members or sources to complete assigned tasks, ensuring timely and accurate communication.
- Complete additional administrative duties and ad hoc assignments as directed.
- Organize, maintain, and file official class and student records in designated training management systems.
- Maintain division files using a logical and accessible structure for easy document retrieval.
- Establish and maintain purchase card folders, documentation, and related correspondence.
- Monitor and track statistical data related to administrative operations and program activities.
- Perform additional records-related tasks as assigned.
Education: High School diploma or equivalent.
Experience: Minimum of two (2) year of administrative or clerical experience performing similar duties. SKILLS AND QUALIFICATIONS
- Must be a U.S. citizen and possess a valid REAL ID.
- Proficient in Microsoft Office 365 (Teams, Excel, Word, PowerPoint, and Outlook.)
- Functional proficiency with Adobe Acrobat Pro and Adobe Connect.
- Skilled in operating office equipment (copiers, scanners, fax machines, etc.).
- Ability to research and analyze data, compile information, and prepare senior�'level correspondence.
- Strong organizational skills with the ability to multitask and support multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Ability to quickly learn and apply organizational policies, procedures, and workflow processes.
