Business Operations Program Analyst Support
VCI is seeking a Business Operations Program Analyst Support professional to support leadership business operations focused on the office personnel coordination, funding and budget execution, agency tasker coordination, and leadership coordination support. This position is located onsite in Quantico, VA.
Duties: This role manages office operations, coordinates meetings and events, tracks tasks and action items, and serves as a liaison with internal and external stakeholders. The analyst supports process improvements, prepares reports and briefing materials, and assists with personnel, travel, and logistical needs to ensure the efficient operation of the office and successful execution of strategic initiatives. Business Operations Program Analyst Support:- Provide office management and administrative support to the top level staff and leadership team.
- Deliver project management support including planning, scheduling, preparing briefing materials, meeting coordination, and note-taking.
- Serve as liaison between leadership, other government organizations, and external agencies.
- Manage correspondence, communications, and dissemination of action items with required background information.
- Maintain and update databases, spreadsheets, and task trackers to manage workload, deadlines, and customer requests.
- Support front office functions such as inquiry management, media requests, logistics coordination, personnel access, and security requirements.
- Evaluate and recommend improvements to internal office and agency processes, and assist with implementation.
- Facilitate planning and execution of staff meetings, off-site events, and engagements, including venue coordination, procurement documentation, and timeline management.
- Review and manage incoming taskers using the agency’s task management system, ensuring timely actions and compliance with deadlines.
- Assist with staffing packages, documentation, and reminders for suspense actions.
- Prepare reports and respond to routine requests for information on deadlines, compliance, and task status.
- Provide support during meetings by taking notes, tracking action items, and ensuring follow-through.
- Coordinate senior leadership engagements (internal and external), including scheduling, venue setup, read-ahead materials, and technical/virtual support.
- Manage Director’s travel arrangements via the Defense Travel System, including orders and voucher processing.
- Assist with manpower support such as onboarding/offboarding, equipment and access requests, roster and org chart updates, and scheduling introductory meetings.
- Ensure professional and effective written and verbal communication, including responses to compliance issues.
- Track completed projects and submit updates in Monthly Progress and Status Reports.
Technical Skills:
- Proficiency in Microsoft Office Suite: Outlook, Teams, Word, Excel, Project, Access, Power BI.
- Knowledge of Defense Travel System or similar systems for travel arrangements and voucher submission.
- Experience with project management tools and supporting meeting/event logistics.
- Familiarity with collaboration and task management platforms such as SharePoint and ServiceNow.
Qualifications:
- Bachelor's Degree - 4 additional years of related work experience (8 total) in substitution of degree.
- 4 years of relevant work experience.
- U.S. citizenship and fluency in reading, writing, and speaking English.
- Current active DoD Secret Clearance
