Executive Assistant to the Administrator

Overview We are seeking a highly organized and proactive Executive Assistant for a skilled nursing facility to provide comprehensive administrative support to our Administrator. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our office and supporting various projects and initiatives.
Responsibilities
- Provide executive administrative support, including managing schedules, coordinating meetings, and preparing necessary documentation.
- Proofread and edit correspondence, reports, and other documents to ensure accuracy and professionalism.
- Coordinate projects from inception to completion, ensuring timelines are met and objectives are achieved.
- Handle clerical tasks such as data entry, filing, and maintaining organized records.
- Assist in event planning and coordination for company meetings, conferences, and other gatherings.
- Deliver outstanding customer service by responding to inquiries and addressing concerns in a timely manner.
- Utilize QuickBooks for basic financial management tasks as needed.
- Maintain an organized office environment that fosters productivity.
Qualifications
- Extensive experience in administrative, secretarial, organization, office management, timekeeping, word processing, automated data systems and quantitative skills
- Exceptional interpersonal, written and oral communication skills.
- Must have ability to coordinate and organize workflow, compile information for reports, work independently, apply independent judgment and discretion when dealing with highly confidential and sensitive matters.
- High school graduate with related experience.
- Experience in a long-term care or adult geriatric setting is preferred.
- VCO or VCA preferred.
