This recruitment will be used to fill the Patron Services Manager position at McLean Community Center (MCC). Position will be responsible for overseeing box office operations for the McLean Community Center's performing arts program and managing the department's administrative needs for 120+ annual performances and events. Supervises box office staff. Fulfils ADA (Americans with Disabilities Act) requests and researches resources to better accommodate patrons with disabilities. Supports audience development and marketing management for programs. Gathers and coordinates program and publicity information for distribution to program staff and the public. Where appropriate, acts as the point of contact between the performing arts department and other MCC departments, including marketing, finance, and facilities. Vets rental requests and oversees the rental process from contracting to event management. Notes: The assigned functional areas for this position include general administration, operations, and/or customer service. Work schedule: Frequent weekend, evening and occasional holiday work will be required.

General Financial Duties Recommends changes to agency/work unit administrative policies, procedures and methods; Uses existing spreadsheets and databases to interpret and organize resource information; Provides customized reports to analysts or others in the unit. Scheduling & Coordinating for others Makes complex scheduling arrangements involving multiple parties, including informing all relevant parties; Independently makes and cancels meetings depending on the subject and attendees; Determines what confidential information can be disseminated and to whom; Arranges for special room or equipment needs and/or multiple locations & individuals; Communication Independently composes original correspondence (e.g., preparation of replies to non-technical requests) for the executive/work unit head's review and signature; Coordinates data collection and provides information to others including executive/work unit head; Explains policies of the functional area (e.g., purchasing, travel, and leave). Office Management Performs/supervises several administrative functions (e.g., records management, reception); Manages a small work unit; General Administrative Develops filing systems (paper and/or electronic); Receptionist/Public Contact Oversees or resolves non-routine/difficult situations based on knowledge and interpretation of established policies & procedures; Interprets county rules & regulations to employees, management, and the public using discretion as to proper application. Word Processing/Typing Serves as unit expert or lead over other clerical/administrative positions. Reports Prepares routine reports and statistics based on information compiled from various sources; Determines report format and elements.

Required Knowledge Skills and Abilities

Employment Standards

CERTIFICATES AND LICENSES REQUIRED:

  • CPR (Cardiopulmonary Resuscitation) Certification - Required within 3 months
  • First Aid Certification - Required within 3 months
  • AED (Automated External Defibrillator) Certification - Required within 3 months
N ECESSARY SPECIAL REQUIREMENTS: The appointee to this position will be required to complete a criminal background check and child protective services check to the satisfaction of the employer. PREFERRED QUALIFICATIONS:
  • Three or more years in retail and front-line customer service.
  • Three or more years of supervisory experience.
  • Two or more years of administrative experience including cash handling.
  • Experience working in a team environment and be able to work independently.
  • Be proficient in Microsoft Office suite with strength in Microsoft Excel and Outlook.
  • Be comfortable with both independent analysis and interacting with the public and colleagues.
  • Possess clear and concise oral and written communication skills.
  • Excellent organizational and attention to detail skills are required.
  • Ability to exercise tact, discretion, initiative, creativity, and independent judgement.
  • Personal or professional experience in the performing arts or related field.
  • Experience with using ticketing software and scanners.
PHYSICAL REQUIREMENTS: Ability to break down tables and chairs. Ability to communicate verbally and in writing. Ability to lift up to 25 lbs. Ability to use keyboard driven equipment and read monitors. Ability to use ticketing software and scanners. Occasionally required to stand for an hour or more at events.
