What we are looking for  

Aleto, Inc. is seeking a Chief of Staff – Operations (COS-Ops) to support the Senior Director of Operations in operational activities to facilitate effective decision-making and implementation.  The COS-Ops shall serve as a member of the operational management team with organizational reach over a wide range of management and technical assignments within the growing organization. They will provide oversight to high-level projects and initiatives, support the Senior Director’s daily workflow, and facilitate communications with the Senior Director’s direct reports and clients when necessary.  

The COS-Ops shall supervise the work of the business support staff, professionals, and consultants to varying degrees. They will work collaboratively with leaders across the organization and the Senior Director’s reports. The COS-Ops will own and drive key special projects that may be on-going and/or non-recurring in nature.

The COS-Ops will liaise, organize, and execute in relation to internal stakeholders including the Sr. Director and other executives, HR, employees and staff. They will also liaise, organize, and execute in relation to external parties including consultants, sales representatives, vendors, and legal representatives.

Chief of Staff-Operations-Essential Job Duties  

Execute the long-term vision of the Sr. Director by:

  • Providing high-level advice and strategic recommendations to the Sr. Director of Aleto.

  • Developing a strong understanding and insight into the Sr. Directors’ vision and objectives to be able to represent him when called up to do so.

  • Adopting a hands-on approach in the constantly growing and dynamic organization and will be responsible for directing the operations of the Sr. Director’s Office while maintaining constant interface with the core stakeholders to ensure that key issues are proactively addressed.

  • Contributing to the development and tracking of leading indicators of performance

  • Participating in leadership and strategy meetings along with the Sr. Director and coordinating next steps

  • Developing data analysis and writing reports for use in executive decision-making and handling data, communication, and projects that are highly privileged and confidential.

  • Assisting in internal project management, both client supportive, and data projects, including Knowledge Management

Own and drive key projects by:

  • Assisting in planning, developing and establishing policies and key objectives consistent with organizational objectives.

  • Working independently to complete assignments involving the appropriate internal or external contacts.

  • Coordinating comprehensive projects and assignments that require coordination of several different offices and/or areas of the organization including personnel/management reviews, and special studies.

Manage communications on behalf of the Sr. Director by:

  • Assist in managing the bi-directional flow of communication in and out of the Sr. Director 's office to ensure consistent and responsive message delivery to key internal stakeholders, including other executives, employees, and staff.

  • Assist in client facing interactions as directed and needed, to include representation in lieu of Sr. Director

  • Executing and directing specific initiatives within the Operations division’s long-term and strategic direction.

  • Building and maintaining mutually supportive relationships with all tiers of the organization when necessary. Working to remove barriers that hamper communication within the organization.

  • Coordinating and monitoring assignments which must be accomplished in conjunction with other senior executives.

  • Performing other related duties as assigned.

 SECONDARY JOB DUTIES 

  • Compliance with all Aleto processes, standards, and guidelines, including utilizing the employee and intranet platforms, clocking in and/or entering time on a daily basis, submitting expense reports, providing monthly progress reports, etc. 

  • Participate in recurring performance development meetings with your Aleto Team Lead to discuss current job tasks, promote open dialog/feedback, recognize and celebrate wins, and review positive and purposeful approaches for meeting work-related and professional development goals. 

  • Attend team meetings, tri-annual company All-Hands Meetings, and other company-sponsored team-building events to foster and support Aleto's core values, vision, and culture.  

SUPERVISORY RESPONSIBILITY 

Direct Reports:  

  • May direct employees' work in lower job classifications. 

  • Will assist in training newly hired departmental staff. 

  • Assess and rate employee performance. 

  • Will supervise work performed by subcontractors and other third-party vendors.

Education/Experience:

  • Must be able to obtain a Public Trust Security Clearance as required on client relationships

  • U.S. Citizenship

  • 2+ years of hands-on experience in a role with comparable scope and responsibilities.

  • Bachelor's in Business, Communications, Marketing, or another relevant field, Master's Degree preferred

  • Government contracting experience preferred

  • Thorough knowledge of real estate/facilities / professional services preferred

    Technological Skills:
  • Proficient in Microsoft Office

  • Proficient in AI

  • Able to master new applications and technological skills as required

  • Required Knowledge and Skills:

  • In-depth understanding of the principles, practices and methods utilized in progressive leadership and staff level management.

  • Proven ability to present to large and small groups on various topics

  • Excellent organizational, analytical, and problem-solving skills and the ability to formulate recommendations and improve team dynamics.

  • Medical, Vision and Dental Insurance:  

Aleto employees are offered single, single-plus-one-dependent, or family medical, vision, and dental insurance plans.   

Aleto offers three medical plan options to employees. Aleto contributes 75% of the employee premium to the base medical plan and the option to “buy up” for the two additional plans.   

Aleto contributes 75% of the employee premium for the vision and dental plans.  

  • Pre-Tax Savings Accounts  

The option to enroll in an HSA or FSA, depending on elected medical insurance coverage. Dependent Care FSAs are also available.   

  • Disability Insurance:

Company-paid short-term and long-term disability insurance.  

  • Life Insurance:  

Company-paid life insurance coverage.   

  • Paid Time Off:  

Paid time off includes eleven federal holidays. Full-time employees accrue PTO at the rate of 5 hours per pay period for a total of three weeks per year. In addition, employees are provided with a separate bank of 40 hours of paid sick leave per year.   

  • Retirement Plan:  

Aleto offers full-time employees a 401(k) qualified retirement plan.   

Environment and Physical Conditions

While performing the duties of this job, the employee is required to have ambulatory skills sufficient to visit other locations; and the ability to remain in a stationary position at least 50% of the time, move inside and around an office, position themself to access items located in high or low areas, and transport items weighing up to 20 pounds across the office. Requires the constant operation of a computer and other office productivity machinery and the ability to observe details at a close range typically within a few feet of the observer.  The employee interacts frequently with other workers, vendors, and clients and will communicate information and ideas so others will understand and must be able to exchange accurate information in these situations. The position consistently requires work to be completed in an office environment with artificial light and air.
