Position Overview:
The Office Manager will play a key role in ensuring the daily operations of our showroom and office run efficiently. As the primary point of contact for both prospective and current clients, the Office Manager will be responsible for greeting visitors, answering inquiries, and walking clients (high-end customers who are investing in and improving their homes) through the showroom. This individual will act as the face of the company, providing an outstanding customer experience while supporting the owner with administrative and operational tasks. The role requires exceptional communication skills, a proactive attitude, and a passion for home design.
Key Responsibilities:
- Customer Interaction:
- Greet and welcome visitors to the showroom in a friendly and professional manner.
- Walk prospective clients through the showroom, answering questions and providing detailed information on products and services.
- Field initial inquiries from prospective and current clients via phone, email, and in-person, ensuring all inquiries are addressed promptly and accurately.
- Prioritize customer inquiries and messages, ensuring the owner is kept informed of all relevant developments.
- Provide the owner with timely updates regarding customer activity and showroom traffic.
- Administrative Support:
- Prepare initial contract paperwork for new and ongoing projects, ensuring accuracy and completeness.
- Organize and maintain office files, records, and client information in an efficient and accessible manner.
- Assist with managing office supplies and inventory to ensure the showroom and office are well-stocked and organized.
- Manage scheduling, appointments, and customer follow-ups to ensure smooth project timelines.
- Handle various office tasks during downtimes, including filing, data entry, and general office administration.
- Communication & Coordination:
- Serve as a liaison between clients and the owner, ensuring that all client needs are met in a timely and professional manner.
- Coordinate with suppliers, vendors, and contractors to ensure seamless project management and client satisfaction.
- Maintain a positive and professional image for the company at all times, ensuring that all client interactions are handled with care and attention.
- Showroom & Office Management:
- Keep the showroom clean, organized, and presentable at all times.
- Monitor customer traffic in the showroom and assist clients with design selections.
- Ensure that all necessary documents and materials are readily available for clients and the owner.
- Take initiative to manage office operations, ensuring that all administrative duties are completed in a timely manner.
Qualifications:
- Experience:
- Previous experience in a similar role, preferably within the home design, renovation, real estate, or construction industries.
- Experience working for home design companies such as Ferguson’s, Mosaic Tile, or other kitchen, bath, and home renovation businesses is highly desirable.
- Familiarity with design concepts, materials, and trends in home renovation is a plus.
- Skills:
- Exceptional verbal and written communication skills.
- Ability to interact with clients and vendors professionally and with enthusiasm.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), and familiarity with CRM or project management software is a plus.
