Job Description

Job Description

This role is an exciting blend of a couple functions for our small public safety non-profit client. This position is hybrid, with expectation to go into the Arlington office 1-2 times a week, with a mostly remote workforce.

The ideal candidate is a hands-on, adaptable independent strategic thinker with ability to pivot with change. Excellent time management and communication skills are a must. Collaboration and ability to ensure strategic tasks and projects are executed timely is vital to this role. They are looking for someone to keep things on track, having a background in business, management or marketing fields. This role is working alongside the President and supporting strategic initiatives, as well as tactical responsibilities.

The Strategic Business Operations Manager is a hands-on role that requires the ability to thrive in a fast-paced environment and possesses the business acumen to support the President and Leadership Team in launching new ventures and organizational pivots to scale our impact. Reporting directly to the President, the Strategic Business Operations Manager will serve as a key resource in the Office of the President. They will manage office operations, lead the planning and marketing of high-impact events, and act as a strategic expeditor for the President—tracking and analyzing key initiatives, supporting business process changes, and ensuring strategic tasks and projects cross the finish line.

This is a non-supervisory position that requires high emotional intelligence, the ability to handle sensitive information with discretion, and a background in the for-profit sector that translates to operational excellence.

DUTIES AND RESPONSIBILITIES

Strategic & Business Process Support

  • New Business Ventures: Assist the President in the research, planning, operationalization, and assessment of new business lines, solutions, and revenue models. This includes supporting pivots in business strategy and helping to operationalize new concepts (e.g., new service offerings or technical solutions).
  • Project Monitoring & Follow-up: Maintain a master view of the organization’s key business priorities and projects. Act as an expeditor to keep the President and Leadership Team apprised of status, following up with internal and external stakeholders to ensuring tasks remain on track and success is achieved.
  • Process Improvement: Assisting analyzing and refining internal business processes to improve efficiency and agility.
  • Change Management Support: Provide logistical and administrative support during periods of organizational change or restructuring.
  • Meeting & Event Management: Lead the planning and execution of in-office convenings, field-based meetings, and special events. Manage the "lifecycle" of events: from vendor negotiation and site selection to on-site execution and post-event analysis. Drive attendance and engagement by working with the Communications and Marketing team to create and manage pre-event outreach, invitations, and post-event communications/publications. Coordinate with internal teams to ensure event content aligns with the organization’s mission and strategic goals.

Operations & Office Management

  • Serve as the primary point of contact for the Arlington office, ensuring a professional and efficient physical work environment (managing mail, supplies, shipping, and copier/tech vendors).
  • Serve as the primary and local point of contact for the organization’s Managed IT Services Provider, attending weekly meetings, assisting with tickets, and providing administrative support as needed.
  • Manage complex scheduling, communications, and correspondence for the Office of the President and Senior Leadership when needed.
  • Conduct analysis and light research on administrative, policy, or managerial topics to brief the President.
  • Provide administrative management for the Board of Directors and committees (scheduling, materials, minutes).
  • Assist and support the operations, travel, and activities of the President.
  • Perform other related duties as assigned.

  • Project Management: Strong ability to track multiple complex workflows and "manage up and across" to ensure leadership is informed and takes appropriate action. Excellent organizational and analytical skills and the ability to formulate recommendations. The ability to prioritize work actions and follow-up with meticulous attention to detail and accuracy. The ability to work effectively under pressure, handle multiple priorities, tasks, demands and time-sensitive pressurized situations. Working in a fast-paced environment; and commitment to completing tasks on time and to the highest ethical and professional standards.
  • The “Do-er” Mentality: Equally energized and willing to execute high-level strategy (business modeling) and ground-level execution (office maintenance) independently.
  • Communication: Exceptional written and verbal communication skills, including the ability to listen and interpret; capable of drafting professional correspondence on behalf of the organization and the President.
  • Business Acumen: Understanding of business modeling, revenue generation, and operational efficiency particularly in a consulting or B2B environment.
  • Independent & Accountable: A self-starter who works well without direct supervision and takes ownership of outcomes.
  • Adaptable: Comfortable pivoting quickly between administrative tasks and strategic analysis.
  • Exceptional interpersonal skills including tact, patience, and acumen and the ability to work with many, diverse individuals and groups across various functions.
  • Computer skills: Strong proficiency in Microsoft Office, including advanced Excel and PowerPoint usage. Familiarity with and the ability to use generative and other AI tools and platforms.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in business, management, marketing, or a related field required. Master’s degree preferred.
  • 5+ years of relevant experience, preferably with a background in the for-profit sector. Familiarity with policing is a plus.
  • Experience supporting C-suite executives or senior leadership in a role that required tracking organizational priorities.
  • Demonstrated success in event planning and marketing.
