Mountain Lake Biological Station Finance and Administration Manager

The Mountain Lake Biological Station (MLBS) Finance and Administration Manager also serves as the unit Office Manager and assists the Director and Associate Director with administrative duties that include, receiving, reviewing, and processing applications, collecting, analyzing, and synthesizing station data, preparation of the annual report, and ordering supplies. The incumbent serves as the first point of contact for MLBS visitors in Charlottesville, and is responsible for academic administration duties that include, processing and tracking student payments through SIS, assisting and providing information to students regarding the station, course registration, and the Student Information System. The incumbent is also responsible for the public relations and marketing aspects of the station that includes, creating print and electronic publications, maintaining and updating website and social media sites, and identifying new ways to market the station. Duties also include purchasing and payments, maintaining station access database, ordering office and laboratory supplies, ordering reserve books for summer loan, ordering textbooks, and assisting students. Duties such as creating the annual report, budget preparation, station publications and publicity, and rates, can be done independently, but need final approval and input from the Director. The Director and Associate Director assist with interactions with faculty and researchers. General Duties: - Develop and prepare budgets and financial reports for general appropriations.
- Undertake financial reporting to ensure budgetary control and responsible fiscal oversight.
- Manage internal control.
- Evaluate effectiveness of business systems and processes.
- Recommend improvements to enhance efficiency.
- May coordinate pre and post award activities between faculty and a research administrator.
- May coordinate space use and facilities planning.
- Coordinate and participate in a variety of human resources activities including recruitment, writing s, compensation analysis, employee relations, and answering HR process questions.
- Represent the department on business affairs to the wider school or VP area through a variety of forums.
- Formulate internal procedures and guidelines for unit or department activities, including the business of the unit or department, such as academic administration.
- Supervise, coordinate and participate in departmental planning and development activities to ensure smooth and successful support of business operations.
- Serve as a lead advisor to the department or unit head. In addition to the above job responsibilities, other duties may be assigned.
Position is in-person on UVA campus, Charlottesville Virginia, not remote. This full-time position will remain open until filled. This position will not sponsor applicants for work visas. MINIMUM REQUIREMENTS Education: Bachelor's degree Experience: Two years of relevant exempt level experience, typically in finance and budget. Relevant exempt level experience may substitute for a degree. Licensure: None PHYSICAL DEMANDS This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
