Position Overview

Prime Response, Inc. (PRI) is seeking an Events Coordinator to provide support to a Federal agency located in Alexandria, VA.

The Events Coordinator supports the planning, organization, and execution of corporate and outreach events, serving as a primary point of contact for logistics, vendors, and on‑site coordination. This role manages the operational details that ensure events run smoothly, professionally, and in alignment with client expectations.

Key Responsibilities

• Coordinate logistics for meetings, conferences, trade shows, and outreach events.
• Manage venue logistics, room setups, signage, catering, shipping, and equipment.
• Serve as the main point of contact for event‑related inquiries, issue resolution, and on‑site support.
• Coordinate exhibit materials, inventory tracking, and event kits.
• Support RSVP management, speaker coordination, and event communications platforms.
• Assist with event setup, breakdown, and real‑time troubleshooting.
• Maintain accurate documentation, receipts, and post‑event reporting.
• Support both in‑person and virtual event formats.

Requirements

Required Qualifications

• Bachelor’s degree or equivalent professional experience.
  
• Minimum 5 years of experience supporting trade shows, conferences, or event operations.
  
• Strong experience with shipping, receiving, inventory management, and vendor coordination.
  
• Excellent customer service and stakeholder engagement skills.
  
• Proficiency with Microsoft Office and Adobe Creative Cloud.
  
• Ability to lift and transport event materials up to 50 lbs.
  

Preferred Qualifications

• Experience working in federal or compliance‑driven environments.
• Familiarity with RSVP platforms (e.g., Eventbrite or similar tools).
• Strong organizational skills and ability to manage multiple priorities.
