Position: Administrative Support / Project Information Specialist – Facilities & Audio-Visual Management Clearance Level: Secret

Position Summary Provide administrative support and project information services emphasizing facilities operations and AV management for conference rooms, training rooms, and the business center. Ensure smooth events, reliable systems, and excellent customer service. Key Responsibilities - Assist in creating and implementing organizational/administrative management policies and procedures.
- Evaluate program effectiveness and recommend improvements.
- Manage and curate an agency project report library to support information access and knowledge management.
- Support office management, building/facilities management, human resources, and/or security services.
- Provide training and technical assistance to staff on systems and procedures.
- Support information and records management activities.
- Use IT programs, databases, and systems to manage schedules, assets, and documentation.
- Provide on-site AV technical support during events (connectivity, presentation/media access).
- Create and edit AV content, including presentations and videos.
- Set up and reset conference/board/training rooms.
- Manage multiple tasks and deadlines; identify and resolve complex problems.
Required Qualifications - At least 7 years of administrative management or relevant work experience.
- Experience creating and implementing administrative policies and procedures.
- Ability to evaluate program effectiveness and recommend improvements.
- Experience managing a project report library.
- Experience with office management, facilities management, HR, and/or security.
- Experience providing staff training and technical assistance.
- Experience in information and records management.
- Proficiency with a variety of IT programs, databases, and computerized systems.
- Excellent written and verbal communication skills with a commitment to quality customer service.
- Physical ability to move a large number of files and/or file boxes.
- Experience with on-site AV support for events.
- Experience creating/editing presentations and videos.
- Experience setting up conference, board, or training rooms.
- Bachelor’s degree in business or information management; related certifications preferred.
