Job Description:

We are seeking a highly organized and detail-oriented individual to join our team as an Office Assistant for our busy machine shop. The successful candidate will be responsible for various administrative and operational tasks to ensure the smooth functioning of our office. This position requires proficiency in handling phone calls, managing invoices and vouchers, purchasing office supplies, maintaining the lunchroom and its supplies, onboarding employees, and assisting with HR, AP, AR, and bookkeeping tasks.



Responsibilities:


  • Answering phone calls in a professional and courteous manner, directing calls to appropriate personnel, and taking messages when necessary.

  • Accurately entering invoices and vouchers into the system, ensuring proper coding and documentation.

  • Managing the purchase and inventory of office supplies, ensuring that stock levels are maintained and reordering as needed.

  • Maintaining cleanliness and organization in the lunchroom, restocking supplies, and coordinating any necessary repairs or maintenance.

  • Assisting with the onboarding process for new employees, including preparing paperwork, coordinating orientation, and facilitating the completion of required documents.

  • Collaborating with the HR department to support various aspects of human resources, such as employee records, benefits administration, and employee engagement initiatives.

  • Assisting with accounts payable (AP) and accounts receivable (AR) processes, including invoice tracking, payment follow-ups, and vendor communications.

  • Assisting with basic bookkeeping tasks, such as data entry, expense tracking, and reconciling financial records.

  • Supporting the office manager and other team members as needed to ensure the smooth operation of the office.



Qualifications:


  • High school diploma or equivalent; additional education in office administration or related fields is a plus.

  • Proven experience as an office assistant, administrative assistant, or in a similar role.

  • Strong organizational and time management skills with the ability to prioritize tasks effectively.

  • Excellent communication skills, both written and verbal.

  • Proficiency in using office software (LibreOffice) and general computer literacy.

  • Attention to detail and accuracy in performing administrative tasks.

  • Knowledge of basic HR, AP, AR, and bookkeeping principles and procedures is desirable.

  • Ability to maintain confidentiality and handle sensitive information with professionalism.

  • Positive attitude, team player, and willingness to take on additional responsibilities as needed.
