Administrative Assistant

RP is seeking an Administrative Assistant to support the Office of Legislative and Public Affairs (OLPA) at the National Science Foundation (NSF). In this role, you will provide day-to-day administrative and program support to OLPA staff, helping ensure smooth operations, accurate reporting, effective communication, and reliable coordination across internal and external stakeholders.
This position is primarily on-site at NSF Headquarters , with situational telework available upon approval.
Responsibilities:
- Manage day-to-day administrative affairs in support of OLPA leadership and staff.
- Maintain calendars, schedule meetings, deconflict appointments, and coordinate logistics for meetings, interviews, and panels.
- Prepare meeting agendas, presentation materials, meeting requests, and meeting minutes.
- Draft email responses and general correspondence on behalf of OLPA staff with professionalism and accuracy.
- Accurately enter information into databases and tracking systems.
- Compile and format reports, presentations, and spreadsheets using Microsoft Word, Excel, PowerPoint, and Outlook.
- Compile daily, weekly, and monthly metrics reports related to social media, web, and communications activities.
- Maintain stakeholder email lists and distribution lists to support OLPA communications.
- Ensure effective document management, including maintaining templates and shared resources used by OLPA.
- Assist with processing requests for travel, training, and reimbursements.
- Establish and maintain effective working relationships with OLPA staff, contractors, and external stakeholders.
- Communicate consistently with professionalism, diplomacy, and tact in a fast-paced federal environment.
Requirements
- Bachelor’s degree (additional experience may be considered in lieu of degree).
- Experience providing administrative or program support in a professional office environment.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines independently.
- Ability to work for any U.S. employer without requiring sponsorship.
Preferred Qualifications :
- Experience supporting federal agencies or communications-focused offices.
- Experience compiling metrics or performance reports.
- Familiarity with document management best practices.
- Experience working in on-site or hybrid federal work environments.
