As our Medical Receptionist, you will be the face and voice of our practice. You are responsible for creating a welcoming and professional environment for all patients, managing front-desk administrative tasks, and ensuring a seamless flow of communication between patients, physicians, and clinical staff. The ideal candidate is empathetic, detail-oriented, and excels at multitasking in a busy medical setting.
Key Duties and Responsibilities
Greet and check-in patients in a warm, professional manner.
Register new patients and accurately update existing patient demographics in our Electronic Medical Record (EMR) system.
Schedule, reschedule, and cancel patient appointments.
Answer a multi-line phone system, screen calls, and route them to the appropriate department or clinical staff.
Verify patient insurance eligibility and benefits; collect co-pays, deductibles, and outstanding balances.
Maintain and manage patient records with the utmost confidentiality, adhering to all HIPAA guidelines.
Manage incoming faxes, mail, and email; process medical records requests.
Perform appointment reminder calls and follow up on no-shows.
Maintain a clean, organized, and welcoming reception and waiting room area.
Assist with other administrative duties as assigned.
Required Qualifications & Skills
High school diploma or GED required.
Minimum [1-2] years of experience in a customer service role, preferably as a medical receptionist or in a healthcare setting.
Strong understanding of HIPAA regulations and patient privacy.
Proficiency with computers and standard office software (Microsoft Office).
Experience with Electronic Medical Record (EMR) systems.
Exceptional customer service and interpersonal communication skills.
Excellent organizational and multitasking abilities.
Ability to remain calm and compassionate in a fast-paced environment.
Fluency in English (written and spoken).
Preferred Qualifications
Associate's degree or certification in medical office administration.
Bilingual in [e.g., Spanish, Mandarin] is highly preferred.
Experience with [Specify your EMR system, e.g., Epic, Cerner, eClinicalWorks].
Familiarity with medical terminology, particularly in [Your Specialty, e.g., cardiology, pediatrics].
