As our Medical Receptionist, you will be the face and voice of our practice. You are responsible for creating a welcoming and professional environment for all patients, managing front-desk administrative tasks, and ensuring a seamless flow of communication between patients, physicians, and clinical staff. The ideal candidate is empathetic, detail-oriented, and excels at multitasking in a busy medical setting.

Key Duties and Responsibilities

  • Greet and check-in patients in a warm, professional manner.

  • Register new patients and accurately update existing patient demographics in our Electronic Medical Record (EMR) system.

  • Schedule, reschedule, and cancel patient appointments.

  • Answer a multi-line phone system, screen calls, and route them to the appropriate department or clinical staff.

  • Verify patient insurance eligibility and benefits; collect co-pays, deductibles, and outstanding balances.

  • Maintain and manage patient records with the utmost confidentiality, adhering to all HIPAA guidelines.

  • Manage incoming faxes, mail, and email; process medical records requests.

  • Perform appointment reminder calls and follow up on no-shows.

  • Maintain a clean, organized, and welcoming reception and waiting room area.

  • Assist with other administrative duties as assigned.

Required Qualifications & Skills

  • High school diploma or GED required.

  • Minimum [1-2] years of experience in a customer service role, preferably as a medical receptionist or in a healthcare setting.

  • Strong understanding of HIPAA regulations and patient privacy.

  • Proficiency with computers and standard office software (Microsoft Office).

  • Experience with Electronic Medical Record (EMR) systems.

  • Exceptional customer service and interpersonal communication skills.

  • Excellent organizational and multitasking abilities.

  • Ability to remain calm and compassionate in a fast-paced environment.

  • Fluency in English (written and spoken).

Preferred Qualifications

  • Associate's degree or certification in medical office administration.

  • Bilingual in [e.g., Spanish, Mandarin] is highly preferred.

  • Experience with [Specify your EMR system, e.g., Epic, Cerner, eClinicalWorks].

  • Familiarity with medical terminology, particularly in [Your Specialty, e.g., cardiology, pediatrics].
