Summary:
The HR Benefits Analyst is responsible for implementing and maintaining all US and Expat related benefits including (but not limited to) medical, disability, life insurance, parental leave, retirement plans, and wellness initiatives. The Analyst manages relationships with brokers, vendors and record keepers-including processing invoices-and ensures compliance with federal and state laws related to benefits administration. The Analyst also manages the configuration, maintenance and troubleshooting of benefits-related systems including onboarding, offboarding, and open enrollment. The HR Benefits Analyst provides timely and professional guidance to employees with benefits related questions or concerns.
The HR Benefits Analyst reports to the Chief Human Capital Officer.
Led by the Chief Human Capital Officer in our Arlington, VA, Headquarters, TechnoServe Human Resources has a global presence with colleagues based in the US, Africa and the Americas. As a department of dedicated HR professionals, we offer excellent service to our almost 2,000 staff located in 30 countries!
Job Responsibilities:
- Periodic review of TechnoServe's benefits packages to ensure they are fully compliant with federal and state laws and regulations; TechnoServe has employees in 20+ states.
- Developing and delivering proactive, frequent, and clear communications around benefit changes (if any) as well as sending out employee education communications / hosting events to advertise / highlight existing benefits.
- Ensuring that all benefits programs are administered efficiently, accurately, and fully in line with both external regulations and internal policies.
- Ensuring that TechnoServe's benefits related systems are configured and maintained to enable smooth, transparent, and compliant processes.
- Ensuring timely and accurate data transmission to/from benefits vendors through automated or manual feeds.
- Carefully reviewing and processing all invoices from benefits vendors.
- Managing all back-office aspects of the annual benefits renewal cycle including cost calculations, plan amendments, and back-end configurations
- Ensuring benefits are clearly communicated as part of the onboarding process; working closely with Recruiting to ensure that benefits are clearly and accurately portrayed to candidates; working closely with HR Business Partners to determine benefits-related plans and solutions to employees outside of the US.
- Managing all aspects of a fully compliant US retirement plan, including (auto) enrollment, contribution accuracy, vesting, proactive management of discrimination testing (as needed) and all mandatory government reporting
- Serve as the point person for the TechnoServe Investment Committee, ensuring regular meetings take place, minutes are recorded, and working with external consultants to ensure compliance.
- Heading an annual 401k audit process through an external vendor
- Managing all aspects of an off-shore retirement plan designed for Third Country National employees
- Managing all aspects of TechnoServe's disability programsincluding communications with employees, coordination with vendors, policy adherence, and time tracking.
- Managing all aspects of TechnoServe's unemployment benefits, in compliance with relevant state laws
- Managing all aspects of TechnoServe's flexible spending accounts including vendor management, reconciliation reports, and clear communication to employees about the benefits and risks of these programs
- Developing and implementing meaningful and relevant wellness initiatives to improve the physical, emotional, and financial wellbeing of our employees, likely through education programs, external speakers, and interactive events / contests
- Providing strong customer service to employees with benefits questions or specific benefits concerns / issues
Basic Qualifications:
- Bachelor's degree with 3 years of experience, or a Master's degree and 1 year of relevant experience; equivalent experience may be considered in lieu of a degree
- Experience managing multi-faceted benefits programs including brokers and vendors
- Proven customer-service orientation, helping employees understand their benefits and resolve specific issues.
Knowledge, Skills and Abilities:
- Proven organizational skills, managing or helping to manage several simultaneous projects and/or objectives on a daily basis
- Excellent communication skills, including the ability to create professional and compelling written communications and presentations
- Professional and personal multicultural experience and awareness
