Job Description:

This role provides the Director of General Education and Faculty Excellence with comprehensive administrative and programmatic support. The successful candidate will be a highly organized, self-directed professional with strong communication, event management, writing, and administrative skills. They will contribute to planning, logistics, communications, and operations that advance faculty development initiatives. The individual will also assist in developing professional development workshop topics, recommending featured speakers, tracking attendance, and maintaining internal and external websites and social media pages that support faculty engagement and visibility.
Key Responsibilities
Administrative & Office Operations

  • Provide administrative support to the Director by scheduling appointments, coordinating meetings, maintaining calendars, and monitoring the Academy of Faculty Enrichment email account.
  • Serve as the primary office contact by answering telephones, greeting visitors, responding to routine inquiries, and directing requests appropriately.
  • Create, maintain, and organize electronic and paper filing systems, databases, records, correspondence, reports, meeting minutes, and other office documents.
  • Order office and program supplies; assist with purchasing requests, budget tracking, travel reimbursements, and other administrative processes.
  • Operate office equipment and utilize university software applications to support efficient daily office operations.
  • Maintain confidential records while ensuring accurate documentation and implementing new office technologies and administrative procedures.

Faculty Development Program & Event Coordination

  • Assist in planning, coordinating, and implementing faculty development workshops, conferences, institutes, retreats, orientations, and special events.
  • Coordinate event logistics including facilities, catering, audiovisual support, registration, speaker accommodations, participant communications, and event materials.
  • Maintain workshop schedules, event calendars, registration systems, attendance records, evaluations, and program documentation.
  • Prepare and distribute agendas, participant packets, name badges, certificates, promotional materials, and post-event communications.
  • Assist with developing workshop topics, agendas, budgets, speakers, and other enhancements that strengthen faculty development initiatives.
  • Recruit and coordinate volunteers, student assistants, or temporary support personnel while assisting with event setup, execution, and other special projects.

Other duties as assigned

  • Responds to other duties as assigned, as directed to ensure smooth operation of the department/office and agency

Technical & Communication Tasks

  • Use Microsoft Word, Excel, Outlook, and Mail Merge for communication and data analysis
  • Design flyers and promotional materials using AI tools (e.g., Canva, ChatGPT, Grammarly)
  • Advertise faculty development opportunities through the AFE email account, LinkedIn, SharePoint, Microsoft Teams, and other approved communication platforms.
  • Upload workshop recordings, presentation materials, and faculty development resources while maintaining organized digital archives.
  • Provide technical support for workshops, webinars, virtual meetings, hybrid events, and other technology-based faculty development initiatives.
