Prejuvenation Aesthetics is a boutique medical practice specializing in proactive aging, advanced
skincare, and aesthetic treatments. We combine clinical expertise with artistry in a warm, elevated
environment focused on long-term patient relationships and exceptional results.
We are entering our next stage of growth and are seeking a high-level Practice Manager to lead daily
operations, drive accountability, and support sustainable scale.
This is a leadership role — not an administrative position.
The Practice Manager will own operational performance, team accountability, and revenue protection
while removing daily decision load from the CEO and clinical providers.

Position Overview:
The Practice Manager is responsible for the full oversight of practice operations, team performance, and
operational profitability. This individual ensures the practice runs efficiently, profitably, and in
alignment with brand standards while maintaining an exceptional patient experience.
The ideal candidate is decisive, metrics-driven, emotionally intelligent, and comfortable leading with
authority in a fast-paced, growth-oriented environment.
This position reports directly to the CEO.

Core Responsibilities:
Operational Leadership:
Own daily clinical and administrative operations
Oversee patient flow, scheduling systems, and capacity optimization
Ensure schedule utilization and revenue protection strategies are executed consistently
Develop, implement, and maintain SOPs across departments
Oversee inventory management, vendor relationships, and cost control
Ensure HIPAA, OSHA, and regulatory compliance
Identify operational inefficiencies and implement corrective improvements
The Practice Manager is responsible for front desk and operations oversight, not execution.
Team Leadership & Accountability:
Lead daily huddles and weekly team meetings
Conduct 1:1 performance reviews and annual evaluations
Coach, mentor, and hold team members accountable to performance standards
Oversee hiring, onboarding, and training of clinical and front office staff
Maintain staffing models aligned with revenue and growth targets
Address performance issues decisively and professionally
Foster a high-performance, solutions-oriented culture
The Practice Manager has authority to coach, discipline, and recommend termination in alignment with
company policy.
Financial Oversight & KPI Management:
Monitor key performance indicators, including:
o Schedule utilization
o Payroll percentage
o Revenue per provider hour
o Retail attach rate
o Patient retention and rebooking rates
Prepare weekly KPI dashboards and monthly operational summaries for CEO
Analyze trends and provide strategic recommendations for profitability
Oversee inventory margin management and cost control
Ensure operational execution aligns with financial targets
This role monitors the financial health and performance of the practice, using it as a guide in making strategic decisions.
Practice Growth & Implementation:
Ensure operational execution of marketing initiatives
Track marketing ROI in collaboration with marketing support
Oversee membership and loyalty program systems
Support patient retention strategies and VIP experiences
Identify growth opportunities and operational readiness for expansion

Success in This Role:
Within 12 months, success will be demonstrated by:
Consistent schedule utilization at or above target benchmarks
Payroll maintained within healthy percentage thresholds
Reliable weekly KPI reporting without CEO prompting
Decreased CEO involvement in daily operational decisions
Strong team performance and low voluntary turnover
Improved operational efficiency and measurable profitability growth

The Right Candidate:
3+ years in medical aesthetics or healthcare practice management experience
Proven track record of building and leading high-performing teams
Strong financial literacy and data driven mindset
Comfortable making independent decisions and holding others accountable
Highly organized, detail oriented, and proactive
Skilled communicator with the ability to navigate difficult conversations
Experience with EMR systems, scheduling software, and operational reporting
Professional presence and eager to partake in all aspects of a growing and leading a team.
This is an in-person, full-time leadership position.

Compensation & Benefits:
Salary range: $75,000 - $90,000 (based on experience)
