Job Summary:
This position plays a critical role in supporting Augusta Health’s mission and advancing departmental goals through measurable performance indicators and service excellence. This position contributes to a collaborative, patient-centered environment and helps drive outcomes aligned with organizational priorities.
The Facilities Coordinator is responsible for coordinating and assisting the Administrative Director of Facilities and the Facilities team at Augusta Health to provide support with the completion of coordinating and managing internal signage request, managing and coordinating office moves and relocations, coordinating space planning and provide administrative support to the facilities department including administrative functions.
Responsible for working with department team to manage moves and relocations, signage requests, and coordinates space planning for the organization. Assists with invoicing and control, while providing coordination efforts in specialty areas. The Facilities Coordinator responsibilities span a broad spectrum, and the position interacts with several entities, both internal and external.
The position requires the flexibility to both provide administrative support and project support as directed by the Administrative Director of Facilities.
Essential Job Duties:
- Educational Responsibilities:
- Assumes responsibility for own personal continuing education and developmental needs. Attends meetings, workshops and seminars to enrich personal knowledge, growth and skill.
- Attends and participates in all required in-services.
- Meets Augusta Health annual continuing education requirements.
- Administrative Support:
- Performs a variety of secretarial and clerical related duties as assigned.
- Answers phones and directs calls to appropriate persons in a courteous and mannerly fashion. Interviews/screens callers and makes proper referral.
- Serves as a liaison between departments, vendors and outside companies.
- Prepare/send/coordinate with vendors for requests for proposals.
- Coordinate appraisals for properties/assets. (corresponding with appraisers, setting up appraisals, acquiring the requested documents, scheduling).
- Order and maintain office supplies.
- Create word documents and email communications.
- Assembles meeting minute and agendas for Physical Environment committee and the Emergency Management Committee and other committees as directed.
- Coordinate efforts of contractors and provide feedback to discuss modifications and adequate solutions to problems.
- Perform time keeping for the facilities department.
- Perform adminstartive assistant functions for the department.
- Manage the calendars for the Adminisdtative Director of Facilities and the Director of Facilities
- Facility Coordination:
- Manage and coordinate office moves and relocations.
- Manage and coordinate signage requests.
- Manage and coordinate space planning.
- Manage the warehouse storage needs for the organization.
- Work in conjunction with the Realestae coordinator and the Construction team when purchasing . leasing and movibng into ot leaving a loactaion.
- Ensure that coordination activities move according to predetermined schedule; track and publish ongoing schedule of events.
- Maintains files per department standards and assist with updates to master files.
- Review and recommend approval of payment to contractors for periodic invoices to be authorized by the Administrative Director of Facilities.
- Responds to inquiries from a variety of hospital staff regarding move requests, signage requests, space planning requests.
- May assist with the Coordination the specification, purchase, and installation of component fixtures, furnishings, and signage. Serve as the primary liaison person with the moving company contractor.
- Creating and maintaining meeting minutes,agendas, databases, and inventory controls.
- Management of storage areas utilized for project materials, furniture, and other department related supplies.
- Other Duties:
- Assures compliance to Augusta Health standards and values by contractor teams for assigned projects.
- Participates in project planning and coordination meetings.
- Records all meeting minutes for staff and construction meetings.
- Coordinates activities with Maintenance and Operations staff as well as clinical customers and assures proper procedural documentation and methods.
- Assist Project staff with file management including scanning copies of contracts, contract documents, and drawings.
- Updates the departmental library of standards, details, and inventories of materials for use on future projects provided by Project staff.
- May be required to use hospital vehicles for various reasons such as travel between buildings on the Augusta Health Campus and satellite buildings.
- Performs various job-related duties as assigned.
- Assist with operational support for the organization, i.e. vaccine & testing clinics, and other support as needed.
Required Qualifications:
- Education: High School Diploma.
- Licensure/Certification: None.
- Experience: A minimum of one-year Administrative Assistant experience or equivalent experience in Facilities Coordination or office setting.
- Driver's License: Yes.
- To drive an Augusta Health Vehicle, must also be 21 years old and Motor Vehicle Record (MVR) must be approved by Risk Management.
- Eligibility to work in the United States and meet Virginia state employment requirements.
Preferred Qualifications:
- Education: Bachelor's Degree preferred.
- Licensure/Certification: None.
- Experience:
- Prior experience in facilities coordination.
- Prior experience in a hospital, healthcare system, or related service-oriented environment.
- Familiarity with Augusta Health’s systems, workflows, or organizational culture is a plus.
Competencies, Knowledge, Skills and Abilities:
- Excellent computer keyboard skills necessary for sending and receiving emails, assembling word documents, updating project status milestones, processing construction documents with construction management software.
- Must have excellent organizational skills.
- Excellent written and oral communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel, Publisher, PowerPoint)
- Demonstrated time management skills.
- Ability to work independently and use problem solving skills in a variety of functions.
- Strong organizational skills.
- Completion of tasks in a thorough and timely fashion.
- Must be able to maintain professionalism in high stress situations.
- Exhibits professionalism, trustworthiness, honesty and integrity.
- Ability to communicate effectively, tactfully, and courteously with a wide variety of people including hospital staff, visitors, and vendors.
- Possesses mathematical aptitude to review invoicing and billing and to scrutinize purchase order and contract material orders.
- Ability to work with individuals on all levels and build productive relationships.
- Ability to work independently as well as collaboratively in a team environment.
- Excellent written and oral communication skills.
- Proficient with various software including Microsoft Excel, Word, and Project.
- Demonstrated time management skills, and ability to meet schedule deadlines.
