Addison Group is partnering with a growing organization seeking a dependable Filing Office Assistant to support a large-scale records management initiative within its Human Resources department. This opportunity is ideal for an early-career professional or recent graduate looking to gain hands-on administrative experience in a corporate environment.

Job Description:

The Filing Office Assistant will play a key role in helping the HR team transition physical records into a secure digital filing system. This position requires strong attention to detail, the ability to work independently on repetitive tasks, and a commitment to maintaining confidentiality when handling sensitive information. The ideal candidate enjoys staying organized, is comfortable using office technology, and takes pride in producing accurate, high-quality work.

Key Responsibilities:

  • Digitize paper-based documents and upload files into designated electronic storage systems.
  • Review, categorize, and maintain digital records according to established naming conventions and filing procedures.
  • Assist with the conversion of archived paper files into organized electronic records.
  • Utilize office equipment, including scanners, copiers, and printers, to support document management projects.
  • Conduct quality checks to ensure scanned documents are complete, legible, and properly stored.
  • Maintain orderly filing systems and support ongoing records management efforts.
  • Provide general administrative support to the department as needed.
  • Handle confidential employee and company information with professionalism and discretion.

Qualifications:

  • Minimum of one year of administrative, records management, document processing, or similar office experience.
  • Experience working with document scanning, electronic filing systems, or digitization projects preferred.
  • Comfortable operating standard office equipment, including printers, scanners, and copiers.
  • Basic proficiency with computers and common business software applications.
  • Familiarity with Microsoft Office Suite and SharePoint is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage repetitive tasks while maintaining a high level of accuracy.
  • Excellent communication and interpersonal skills.
  • Associate's degree or Bachelor's degree preferred.

Additional Details:

  • Project-based opportunity supporting a Human Resources records management initiative.
  • Candidates must be able to commit to the full duration of the assignment.
  • Position is not eligible for overtime.

Physical Requirements:

  • Ability to lift and transport boxes and files weighing up to 30 pounds.
  • Ability to stand, walk, and sit for extended periods throughout the workday.
  • Comfortable bending, reaching, stooping, and retrieving files as needed.
  • Strong hand-eye coordination and dexterity for data entry and document handling.
  • Ability to read printed materials and computer screens for extended periods.
